Job Description

The Opportunity: 

As the Sales Coordinator, your role is to maximize the customer's (retailers) in-stock position via prompt order processing, generation of reports and accurate maintenance of data systems in line with the requirements of the Australian and New Zealand Account Team, and provide high standard of service to all customers. 

What Your Impact Will Be: 

1. Order Processing 

  • Ensure all orders are processed, released and supplied in full and on time, in accordance with customer trading terms and delivery requirements.
  • Process all sales orders within a 12-hour turnaround period.
  • Maintain a system to manage customer back orders to ensure that the order is supplied in full once stock has become available.
  • Monitor product codes, pricing, quantities and delivery windows to ensure accurate and efficient delivery of orders and to minimize return/credit claims.
  • Manage and maintain data integrity of customer ordering system in line with the requirements of the Account Teams (e.g. EDI)

2. Sales Support & Customer Service 

  • Develop and maintain strong and co-operative relationships with Account Team members and external parties.
  • Input and maintain forecast in accordance with specific order requirements as determined by the Account Teams.
  • Determine shipping priorities in conjunction with the Account Team on a weekly basis.
  • Recommend actions to the Account Teams that will capture sales opportunities (eg. via the generation of the following reports - unshipped/supply ratio report, open/back order reports, forecasts vs bookings).
  • Ensure complete visibility of customer order status, through clear daily communication to all stakeholders.  Assist with the growth targets for NZ by providing the NZ Team with key data and reports to assist with maximising sales orders.

3. Other Duties 

  • Develop and maintain procedure manuals to facilitate a best practice approach with the Sales Administration Team.
  • Maintain the integrity of the data held with ISIS as directed by the Business Team
  • Provide Sales Administration expertise in all meetings and in special project teams when required.
  • Report on lost sales and unshipped items by order. 

Qualifications

What We’re Looking For: 

  • Advanced computer skills (Microsoft Office and AS400)
  • Fast and accurate key punching skills.
  • Previous experience in a Sales Administration role.
  • Experience with Electronic Data Interchange (EDI), an advantage.
  • Effective communication skills, both written and verbal.
  • Strong numeric skills
  • Attention to detail
  • Works well under pressure
