Job Description
We’re looking for an experienced and proactive Executive Assistant to join our CEO Office, providing high-level support to two senior leaders: Chief Marketing Communications Fundraising & Retail Officer and Executive Director of Policy & Research. This is more than a traditional administrative role. You’ll be a trusted partner to senior leaders, anticipating their needs, managing competing priorities and ensuring they have the information and support needed to make effective decisions. You’ll bring structure to busy schedules, build strong relationships across the organisation and help ensure the smooth running of important meetings and executive activities. With a proactive mindset, sound judgement and exceptional attention to detail, you’ll make a real difference to how our leadership team operates.
If this sounds like you, we would love to see your application!
Your Responsibilities:
- Provide high-level executive and administrative support to two senior leaders, ensuring their day-to-day activities run smoothly.
- Proactively manage complex diaries, meetings and correspondence, anticipating changing priorities and resolving scheduling challenges.
- Coordinate leadership and governance meetings, including preparing agendas, managing papers, taking accurate minutes and following up on actions.
- Act as a trusted first point of contact for internal and external stakeholders, handling enquiries professionally and discreetly.
- Ensure senior leaders are fully briefed and prepared for meetings, with relevant documents and information available in advance.
- Coordinate travel, accommodation, events and other logistical arrangements.
- Develop and maintain effective administrative systems, document management processes and accurate records.
- Prepare, proofread and format correspondence, reports and presentations to a high standard.
- Support financial administration, including purchase orders and expense processing.
- Collaborate with the wider Executive Assistant team, providing flexible support across the Executive Leadership Team when required.
Key Criteria:
- Extensive experience as an Executive Assistant supporting C-suite executives, Executive Directors or Board-level leaders.
- Proven ability to manage complex diaries, competing priorities and demanding workloads in a fast-paced senior executive environment.
- Experience coordinating senior leadership or governance meetings, including agenda preparation, minute-taking and action tracking.
- Excellent organisational, time management and problem-solving skills, with the ability to anticipate needs and work independently.
- Strong interpersonal and stakeholder management skills, with the confidence and professionalism to engage with senior leaders and Non-Executive Directors.
- Exceptional written and verbal communication skills, with excellent attention to detail.
- Sound judgement, diplomacy and discretion when handling sensitive and highly confidential information.
- Advanced proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, Teams and SharePoint.
- A proactive, adaptable and collaborative approach, with the ability to remain calm and effective under pressure.
- Previous experience within a charity or not-for-profit organisation is desirable.
