Job Description

The Senior HR GBS Specialist - Service Delivery & Continuous Improvement (Asia) is responsible for driving operational excellence, service delivery, and continuous improvement initiatives across the Asia portfolio within the Asia H2R Shared Business Services organization.

The role ensures the consistent execution of standardized HR processes while balancing operational excellence, customer experience, compliance and continuous improvement. As the primary owner of the Employee Lifecycle process family, the role maintains process documentation, drives process standardization and supports governance across the service.

In addition to operational ownership, the position serves as the Deputy to the Asia Service Delivery Lead, providing leadership support, operational oversight and business continuity when required.

Main Responsibilities:  

Operational Leadership:

Act as the senior operational expert for the Asia Employee Lifecycle service.

Support Specialists by:

  • Providing process guidance.
  • Supporting workload balancing.
  • Reviewing complex transactions.
  • Coaching team members.
  • Supporting quality assurance.
  • Sharing best practices.

HR Case Management:

Own the operational delivery of Employee Inquiry and Case Management processes.

  • Managing complex employee inquiries.
  • Resolving escalated HR cases.
  • Coordinating cross-functional case resolution.
  • Ensuring timely communication with stakeholders.
  • Identifying recurring issues and recommending process improvements.
  • Monitoring case trends and service quality.

HR Operations Reporting

Lead the preparation and delivery of operational reporting across the assigned processes, including:

  • Operational KPI reporting
  • SLA reporting
  • Productivity reporting
  • Workforce reporting
  • Service performance dashboards
  • Operational scorecards
  • Monthly operational reporting packs
  • Ad hoc management reporting
  • Trend analysis
  • Operational performance monitoring

Process Ownership:

Own the Employee Lifecycle process family.

Responsible for maintaining and continuously improving:

  • Employee Lifecycle SOPs
  • Employee Inquiry SOPs
  • Case Management SOPs
  • Document Retention SOPs
  • Offboarding SOPs

Ensure:

  • Process documentation remains current.
  • Local legislative variations are incorporated appropriately.
  • Global process standards are maintained.
  • Knowledge Articles are updated.
  • Process improvements are documented.

Continuous Improvement:

Identify opportunities to:

  • Simplify processes.
  • Standardize activities.
  • Improve customer experience.
  • Reduce manual work.
  • Improve quality.
  • Increase automation.

Participate in operational improvement initiatives led by the Service Delivery Lead.

Support testing of new tools and process enhancements.

Governance:

Support operational governance by:

  • Monitoring SLA achievement.
  • Reviewing KPIs.
  • Supporting audit preparation.
  • Ensuring compliance with process controls.
  • Maintaining operational documentation.
  • Escalating operational risks.

Buddy Responsibilities:

Responsibilities include:

  • Knowledge sharing.
  • Mutual operational support.
  • Supporting process changes.

Emergency support may be provided to Learning and Performance with the purpose of operational excellence and knowledge build and expertise.

Decision Making:

Can independently:

  • Resolve complex operational cases.
  • Prioritize work within the Asia Lifecycle team.
  • Recommend process improvements.
  • Escalate operational risks.
  • Approve standard operational decisions within delegated authority.
  • Recommend updates to SOPs.

Supports the SDL in operational decisions affecting the wider Asia service.

Experience:  

  • 6-9 years of experience in HR Operations or HR Shared Services experience.
  • Significant experience managing Employee Lifecycle administration within a multinational environment
  • Experience handling complex employee cases.
  • Experience supporting HR compliance activities.
  • Experience with HR case management systems.
  • Experience with Workday or equivalent HCM platform.
  • Experience working within Global Business Services environments preferred.
  • Experience supporting payroll processes would be an advantage.
  • Demonstrated experience improving HR operational processes.

Education

  • Bachelor’s degree in Human Resources, Business Administration, Law, Psychology or a related field, equivalent experience will also be considered
  • Lean, Six Sigma or HR certifications considered an advantage
