WHAT YOU’LL DO  

We are seeking an experienced and highly organized Executive Assistant to provide comprehensive administrative support to our Chief Human Resources Officer (CHRO). The ideal candidate will possess excellent organizational skills, discretion, and the ability to manage a wide range of responsibilities, including handling sensitive and confidential information and working with teams globally. 

DAY-TO-DAY RESPONSIBILITIES:  

Administrative Support: 

  • Manage the CHRO's calendar, scheduling meetings, appointments, and travel arrangements. 

  • Prioritize and screen incoming communications, including emails, phone calls, and other correspondence. 

  • Prepare and edit documents, presentations, and reports on behalf of the CHRO.  

Meeting Coordination: 

  • Organize and coordinate meetings, including agenda preparation, meeting materials, and follow-up actions. 

  • Attend and record minutes during key meetings as requested. 

  • Ensure meeting logistics and technology are well arranged. 

Data and Information Management: 

  • Maintain and update confidential files, records, and HR-related documents. 

  • Manage the CHRO's vendor list, budget, ensuring accurate and up-to-date information. 

  • Handle confidential and sensitive information with discretion. 

Communication and Correspondence: 

  • Act as a primary point of contact for internal and external stakeholders, including HR team members, executives, and external partners. 

  • Draft and proofread emails, reports, and other written communication on behalf of the CHRO. Add graphic elements to enhance marketing and professionalism. 

HR Project Support: 

  • Assist in HR-related projects and initiatives as directed by the CHRO. 

  • Collaborate with other HR team members to support departmental goals. 

Event Planning: 

  • Assist team members with planning HR-related events, such as workshops, seminars, and conferences. 

  • Arrange logistics, catering, and materials as needed. 

Budget Management: 

  • Assist in tracking and managing budgetary items, including expenses and cost approvals. 

  • Maintain financial records and reports for HR-related expenditures. 

Qualifications

WHAT WE ARE LOOKING FOR  

  • Bachelor’s degree in business administration, Human Resources, or a related field preferred. 

  • 5+ years of executive assistant or administrative support experience, with experience supporting senior executives. 

  • Excellent organizational and time management skills. 

  • Strong written and verbal communication skills. 

  • Strong customer service skills.

  • Proficiency in office software and communication tools, including Microsoft Office Suite. 

  • Discretion and the ability to maintain strict confidentiality. 

  • Attention to detail and problem-solving abilities. 

  • Ability to work independently and manage competing priorities. 

  • Ability to be nimble and flexible to shift focus as needs arise. 

NICE TO HAVE

  • Experience supporting Executive-level leaders at a high-growth, fast-paced company. 

  • Experience organizing employee-centered events.  

  • Experience with graphic design to enhance presentations and employee communications preferred (I.e., experience with Canva, Venngage, etc.)  

 

Salary Range: $60-65K

Location: Hybrid (on-site Tuesday, Wednesday, Thursday)
