As a core business unit of the Linux Foundation, the Event Team (composed of 40+ event management, sales and marketing professionals) manages over 150 global events and conferences each year, ranging from 50 to 20k attendees. We host in-person, virtual and hybrid events.
Job Description
We’re looking for a highly-organized and results-driven Event Planner to join our team, working within our Event Services group who provide event management & operations as-a-service for open source projects and foundations hosted here at the LF. This position reports to an Event Manager, and will own various logistical responsibilities while collaborating as part of a larger team, along with fully owning the successful production and delivery of some smaller events.
The ideal candidate must be an event professional with a minimum of 4 years events experience, strong strategic and tactical skills, and the ability to successfully execute events and programs, both on their own and with a team.
The position requires overnight and weekend travel to events both domestically and internationally (~30%).
What You Will Work On
- Plan, manage and successfully deliver B2B events and conferences, both wholly and as part of a larger team. This includes in-person, virtual, and hybrid events around the world.
- Event management tasks will include: space planning, F&B, AV, staff scheduling, internet, stage design, health and safety protocols, attendee communications, attendee experiences, and branding/environmental design.
- Work collaboratively with other team members, across the organization, with community members, and with vendors.
- Create new, or update existing processes, documentation, timelines, and to-do lists where it relates to event responsibilities.
- Create and proofread event materials (including copywriting) for website, signage, registration, attendee/speaker/sponsor communications.
- Provide on-site support for events, including overseeing execution of areas of pre-planning responsibility as well as other tasks as assigned.
- Provide customer support to attendees and other event stakeholders.
- Work closely with internal cross-functional teams for successful execution of events and to meet event goals and objectives.
- Act as a skilled negotiator with proven experience finding creative ways to do more with less, and a track record of staying on budget.
- Work with external vendors on the creation and timely delivery of conference deliverables.
Qualifications
Who We Are Looking For
- 4+ years of event management experience in B2B conferences, ideally in tech
- Extremely detail-oriented with impeccable project management skills
- Organized, and able to prioritize and juggle/meet multiple deadlines
- Concise and effective verbal and written communication with strong attention to spelling and grammar
- Ability to thrive and effectively deliver in a fast-paced, ever-changing environment; comfortable with changing priorities, last-minute pivots, and willing to roll up your sleeves to ‘get the job done’
- Helpful and humble with a hospitality-driven and service-oriented attitude
- Ability to adapt to challenges and opportunities with a solution-oriented perspective; excellent strategic thinking and critical reasoning skills
- Ability to manage tasks, time, and schedule with limited supervision
- Ability to work collaboratively with clients, vendors, and team members; comfortable interacting with a wide range of community members, from C-level executives to technical programmers
- Self-motivated — you take pride in your work and performance
- Excellent relationship-building skills including a team-oriented, positive approach
- Strong business/office applications proficiency (eg: MS Office, Google Apps, Slack, Zoom, and Asana) and event technologies proficiency (apps, registration, etc.) with a proven ability to pick up new software quickly
- Proficiency with virtual event/webinar/content hosting platforms (e.g., Accel Events, Hopin, MeetingPlay, Vimeo, Zoom, YouTube, etc.) with a proven understanding of system integrations to support the complex technology landscape needed for large-scale digital events
- A degree in events, marketing, communication, business, or related field
Skills That Are A Plus

- Previous experience working remotely

Additional Information
This position requires overnight and weekend travel to events both domestically and internationally (~30%). This position is remote, and is open to applicants who can work North American time zone standard business hours.
