Job Description

The Malta Studio Office & Events Administrator has overall responsibility for the organisation and management of Authentic Gaming studio in Birkirkara. The overall objective of the role is to manage the facility's operations with accountability for the provision of a safe and secure working environment for employees and customers.  We are looking for a person who will make everyone part of the Authentic Gaming family and make coming to work fun and enjoyable.  

Key Responsibilities  

  • Responsible for the day-to-day running of the Studio including but not exclusive
    • Creating the AG family atmosphere in the Studio. Make it a fun & supportive place to work 24/7
      • Greet visitors and employees and give them a great experience of the Studio
      • Create a great experience for employees – home away from home
        • Food for the team as planned and managing budget
        • Liaising and resolving issues with Cleaners to ensure the studio areas are well kept and hygiene is up-to-standard following Service Management direction
        • Vending, water, coffee machine issues and stocking
        • Make sure that all breakrooms and AG studio areas are kept to a high standard and are pleasant for all employees to enjoy
        • Handling Induction-related tasks as well as merchandise for newcomers
      • Office duties – managing post, calls to the Studio
    • Facilitates management
      • Day-to-day maintenance issues; maintenance of the studio and upkeep of studio areas;
      • Direct communication with StudioSeven and other third parties for any maintenance-related work;
      • Communicating LnW facilities policies with the help of the Office manager
        • Travel – assisting where required and communicating policy. Creating accounts
        • Expenses policy - assisting where required and communicating policy
      • Manage the company apartment
    • Vendor management
      • Processing invoices relating to office expenditure
      • Ordering and organising installation for studio-related furniture
      • Adding/removing individuals to/from our Bolt system
      • Managing the onboarding of new vendors with LnW processes
      • Answering phone and opening for suppliers
    • Events management
      • Assisting to arrange the ‘Dealer of the Month’ monthly event planning for the Studio team;
      • Assisting and managing team and company events with the assistance of marketing or other teams.
    • Upholding ISO standards and looking for continuous improvements
      • Working with the LnW facilities team & AG Office Manager to make sure we are meeting
        • Review and handle processes Health & Safety requirements within the Studio; Conducting Evacuation routes etc.
        • Security – security access system and enable/disabling passes with the LnW team.
  • Communicate and raise improvements
    • As the office expands and evolves assisting the Office Manager and Studio management in raising issues and proactively suggesting changes

 

Qualifications

Knowledge, Skills & Experience 

  1. 1+ years of related experience in and a proven track record of facilities management on a multi-site level 
  2. Excellent communication and interpersonal skills. 
  3. Good IT literacy skills in MS Outlook, Word Excel, and PowerPoint. 
  4. Must be organised, and able to work on own initiative with a proactive and flexible attitude. 
  5. Able to multitask and prioritise, and able to liaise with all levels of internal and external customers.  
  6. Strong evidence of effective management of vendors, and projects
