Job Description
HR Executive (6-to-9-month contract – maternity replacement)
We are seeking an ideal candidate that is eager to manage daily operational tasks and projects within Human Resources.
Daily Operational
- Managing HR data, ensuring records are accurate, processing payroll, statutory payments, leave management, insurance management and handling overall administrative tasks.
- HR letter preparations (Probation confirmation, employment certificate, etc.)
- Support Malaysia, Singapore and EOR countries on day-to-day administration.
Onboarding activities
- Preparing of Employment Agreement and getting it endorsed, Liaise with IT on email, equipment and software requirement, Preparation of onboarding schedule.
Offboarding activities
- Preparing acceptance of resignation letter, communicating on exit interviews and exit clearance. Ensure to have smooth departure of employees.
Training and Development
- Support HR team to coordinate with training providers and programmes.
- HRD claimable trainings - Submission of HRD grant application and approval and to communicate with respective business units.
- Non HRD claimable trainings – review the budget allocation, getting approval from line manager and to liaise with training provider for confirmation.
Invoices and Vendor coordination
- Follow up, checking and preparation of monthly invoices.
- Create purchase orders via SAP Concur system, and work with internal finance processing.
Employee experience and engagement
- Coordinate with internal teams for to enhance culture, employee satisfaction, and engagement.
- Be part of the committee team for quarterly festive celebration.
Continuous improvement
- Policy review and update: Update HR handbook, policies, workflow and job descriptions.
- Data & Reporting: Prepare necessary data and report as and when requested.
- Other HR ad hoc projects as and when required.
Qualifications
- Diploma or Degree in Human Resources or a related field.
- Minimum 2 years of HR payroll and administration experiences.
- Good communication, organizational and interpersonal skills.
- Eager to learn and able to work in a fast-paced environment.
- Proficiency in Microsoft Office (Excel, PowerPoint, Word).
Additional Information
General Safety & Health Responsibilities:
- Comply with local governmental HSE regulations, with Lesaffre fundamental principles and apply the safety Policy,
- Participate in entity safety activities and always show best examples (Rules application, PPE wearing, perform safety visits, accident analysis, safety committees…),
- Participate actively in the risk assessment of own’s job area
- Follow the safety action plan of own perimeter,
- Make safety rules in your perimeter, communicate it, make sure your team understands and applied them,
- Start all meetings (from 8 persons minimum) by a safety contact,
- Encourage safe acts and discourage each time you see unsafe acts,
- Report unsafe conditions / acts and near misses to the managers,
- Report within 12 hours all recordable accidents to the next level of management,
- Report each month all recordable accidents and first aids happened in your perimeter,
- Participate in the target-setting process for the safety KPIs,
- Be a part of recognition & sanction program.
Safety & Health Responsibilities within Human Resources:
- Integrate safety trainings into the entity annual training plan (local mandatory, essential and recommended safety trainings),
- Follow-up mandatory safety trainings,
- Participate in psychological risk assessments and prevention program,
- Make sure that all newcomers receive safety training. Their training should be recorded and kept,
- Make sure that safety roles and responsibilities are include in each job description according to this JD guideline,
- Make sure all employees receive medical check according to local regulation requirements, follow each employee health situation, keep medical check records, and facilitate the follow-up of any employee who has medical deficiency,
- Participate to the safety committee meetings.
