Job Description

We are currently searching for a talented Operations Coordinator to join a fast-paced Operations department at our Carson, CA, headquarters. Reporting to our Operations Manager, you will use your exceptional judgment, superb attention to detail and levelheaded approach to provide support to our leadership team. The role has exposure to a broad range of high-level projects that necessitate engagement with departments throughout Lakeshore and with outside vendors, with visibility to executive leadership. Candidates with a strong curiosity and a desire to learn new skills are encouraged to apply. 

A day on the job looks like this: 

  • Providing administrative support to the departments including scheduling meeting spaces, managing calendars, drafting correspondence, answering phones, filing, ordering office supplies, submitting and reconciling expense reports and invoices 
  • Conducting preliminary research, including product on projects as necessary 
  • Comparing, formatting, inputting and editing documents (spreadsheets, contracts, etc.) 
  • Escalating issues brought to the department  
  • Communicating with outside vendors on occasion 
  • Running local errands 
  • Delivering world-class service to our partners and guests  
  • Prioritizing, organizing and ensuring incoming requests are addressed according to Lakeshore's quality standards  
  • Handling incoming mail, including sorting, distributing and processing correspondence 
  • Processing employee time sheets 
  • Ensuring timely follow-up and resolution of inquiries to maintain effective communication with internal and external stakeholders 
  • Utilizing systems such as ADP, Jira, Concur and Medius 
  • Processing copyrights  

Qualifications

Got the skills and experience? Here’s what we’re looking for: 

  • 2+ years of experience in administrative support 
  • High school diploma or equivalent; college degree preferred  
  • Driver’s license 
  • Proven proficiency with Microsoft Word, Outlook and Excel required 
  • Ability to think critically, problem-solve and make some decisions independently  
  • Collaborative approach to producing great work 
  • Excellent verbal, written, interpersonal and customer service skills, as well as strong organizational skills and attention to detail 
  • Ability to suggest ways to improve processes while keeping long-term goals in sight
