Job Description

In a time of unprecedented expansion, we are currently seeking an experienced and energetic Executive Assistant, Lead to support a senior member of our leadership team strategically and proactively while also leading and mentoring a talented team member. In this role, you will use your strong project-management abilities, sound judgment and outstanding organizational skills to anticipate needs, prioritize tasks, analyze data, strategize solutions and optimize day-to-day business operations. The ideal candidate is a capable self-starter who is resourceful in solving problems with minimal direction and thrives in a challenging yet fun environment. This is a hybrid on-site/remote position—working some of the time at our Carson, CA, headquarters and the remaining time from home. The location split will vary based on business needs. 

A day in the office looks like this: 

  • Proactively maintaining and managing calendars in multiple time zones, including scheduling recurring meetings, prioritizing appropriately and using good judgment to handle complex scheduling and planning needs 
  • Reviewing, categorizing and organizing business and personal correspondence; maintaining an orderly system for effective retrieval; ensuring timely responses 
  • Serving as a trusted and professional point of contact for our esteemed C-suite executives; displaying confidentiality, discretion and exceptional interpersonal skills 
  • Fostering collaboration and open communication among executives and other key business leaders; facilitating seamless information exchange and coordination 
  • Providing guidance and direction to one team member; overseeing their performance and optimizing their efficiency  
  • Fostering a collaborative and supportive environment to ensure the smooth execution of administrative and operational tasks 
  • Overseeing administrative and operational needs to optimize efficiency and time management 
  • Handling a wide variety of responsibilities and situations, including business communications, project follow-up, time and schedule management, and other team projects/tasks that arise 
  • Fulfilling a project-management function and following up with executives on all open projects from conception through completion 
  • Structuring, maintaining and prioritizing the executive’s to-do list, ensuring key tasks are managed efficiently 
  • Running and analyzing reports; extracting valuable insights to support informed decision-making 

Qualifications

  • Relevant university degree or equivalent 
  • 10+ years of experience providing executive-level support 
  • 3+ years of management experience 
  • High degree of professionalism and a proactive mindset, anticipating and addressing potential challenges with efficiency 
  • Ability to juggle multiple tasks/projects with superb accuracy 
  • Top-notch attention to detail and professional discretion  
  • Calmness under pressure, with ability to work under deadlines 
  • Creative problem-solving skills 
  • Excellent written and verbal communication skills 
  • Proven proficiency with using productivity tools, calendar management systems and MS Office suite (Microsoft Excel, PowerPoint, Word, Outlook, Teams, etc.) 
  • Ability to build relationships and solid people skills 
  • Solid judgment and ability to read your audience

  • Salary: $80,000-$100,000 with an annual bonus of up to 15%
