YOUR IMPACT _________
- Be the regional point of contact & to provide administrative support to the Regional General Manager, APAC for business, which includes specific areas pertaining to team and office management
- Be one of a key contributor to support the regional commercial lead for overall region (local market and travel retail) to achieve brand’s goals and objectives & ensure business agility in line with fast-evolving APAC business development.
- To be the brand and business support to Commercial lead in the management of distributors and retailers, partnering relevant internal / HQ stakeholders to co-create and to achieve the goal of instilling desirable omnichannel brand experience at the heart of all actions.

YOUR MISSION _________
Administrative Specific Responsibilities:
- Travel arrangement & T&E claims
- Maintain key contact lists & maintain useful databases
- Organize & schedule meetings and appointments
- To provide administrative support to the office team such as pantry and stationery order, name card printing, leave management, central filing staff benefit, etc.
- To maintain and update standard operation procedures in the office to ensure smooth office management
- To work with the BPC / HQ team on all finance operations work related to all account set-up, PO creation, and information update.
- Put up purchase requests for all approved purchases for the necessary approvals and verify invoices for the raised purchases upon delivery of goods and services.
- To assist & support the Brand General Manager in ad-hoc tasks or special projects if required
- To optimize the retail performance of the points of sale to achieve the strategic and financial goals of the business unit in the dedicated markets for both Local Market and Travel Retail APAC.
- To support the Regional GM to lead the consolidation of APAC key commercial, operational tasks / topics & dissemination to relevant internal / HQ stakeholders
Commercial Administrative Support
- Support Commercial lead in accelerating brand visibility and sales development in line with brand objectives and strategy
- Support commercial leads to ensure a strong field presence and assess brand performance by points of sale and product category.
- To work cross-functionally by coordinating feedback and requests between markets, teams, and AdP HQ.
- Support commercial leads to ensure that the markets' Outlook is constantly updated and respected.
- Review and follow up on monthly orders from markets with precision, completeness, and promptness, and submit them in a timely manner to Customer Service to capture the month's turnover.
- Communicate updates to retailers on logistic issues/novelty to order monthly & ensure full quantities are being ordered.
- Support in yearly pricing adjustments/increase, novelty reference creation / monthly forecast and analysis, and consolidate monthly sell-out reports / ad-hoc requests subject to the region
- Monitor Retailer’s Stock by ensuring regular follow-up on the coverage and identifying the level of risky stock to anticipate overstock situation and reduce P&L impact.
- Consolidate and update assortments/price lists per region and share them with retailers.
- Consolidate and build reports on sell-in/sell-out/market performance to feedback Area Retail Manager, NEA and Regional General Manager, APAC.
Merchandising & Marketing
- Ensure that markets order the necessary VM tools and POSM items for each POS, counter openings, and animations.
- Optimize stock levels and assortments and ensuring no OOS.
- Propose product assortment for new POS opening and streamlining of current assortment to enhance POS productivity.
- Support in marketing operations for Travel Retail such as visual updates and planogram proposals.
- Support in projects such as new POS Opening and mega events by liaising with distributors and HQ with strong coordination and support.
Qualifications
WHAT YOU OFFER _________
- Specific certification / diploma degree with at least 3 - 5 years of relevant experience; Supply Chain / Logistics experience is welcomed
- Good experience in a similar position in Beauty industry would be a plus
- Highly motivated, autonomous with strong retail & numbers acumen
- Excellent interpersonal, negotiation and communication skills plus a team player
- Meticulous and able to work under pressure and with knowledge of APAC culture and values
- Proficient in MS Office (Word, PPT, Excel) SAP and Power BI knowledge is a plus
- Fluency in both written and spoken English and Mandarin is a must
