Job Description
We are looking for a dynamic and experienced professional to coordinate and manage the country‑level Employee Services & Payroll department, ensuring operational excellence and strategic development across all related functions. Your responsibilities will be:
- Coordinate the country-level personnel administration and payroll department. Set procedures, standards, technical methods, and priorities.
- Manage the employees reporting to this role (managers/employees) within the assigned area of responsibility.
- Responsible for delivering the short- and medium-term functional strategy, as well as the operational direction of the department.
- Responsible for planning, administering, and developing the services provided, in line with the defined objectives and country-level KPIs.
- Contribute to defining the budget for the personnel administration and payroll department.
- Implement policies and procedures; ensure that policies, practices, and procedures are understood and followed by direct reports, clients, and other relevant stakeholders.
- Create and coordinate programs related to personnel administration and payroll within the assigned area of responsibility; provides support/coordination, upon request, for all country-level initiatives regarding employee services and payroll, or related HR programs, policies, processes, and projects.
- Plan team activities on a regular basis to ensure coverage of all steps and requirements received.
- Identify risks and contribute to analysing and identifying solutions to reduce or eliminate them.
- Actively seek and identify potential opportunities within the area of responsibility, providing expert consultancy.
- Act as the functional point of contact for colleagues within the area of responsibility, serving as liaison for specific and non-standard topics.
- Serve as the first point of contact in the assigned area of responsibility at country level.
- Monitor the team and guides them in daily activities, problem-solving, achieving objectives, and completing tasks.
- Define objectives, action plans, and responsibilities for team members. Provide clear instructions, monitors, and evaluates results.
- Identify training and development needs for the team. Oversees their professional development and provides support in applying new knowledge.
- Develop short- and medium-term plans for organizational development.
- Propose and implement measures to improve team performance, organizational flexibility, diversity, succession planning, coaching, change management, and personal growth.
- Lead audit readiness by ensuring all HR Admin & Payroll processes are compliant, documented, and fully traceable.
- Oversee SAP HR system maintenance & enhancements, ensuring accurate data, proper controls, and continuous improvement.
- Maintain alignment with global HR structures, ensuring local processes follow global standards and guidelines.
- Coordinate facility- and SSC-related HR administration, ensuring smooth collaboration, clear responsibilities, and efficient operations.
- Assume functional responsibility for the following HR departments at country level: Employee Services (Personnel Administration), Payroll Time & Attendance.
Qualifications
- Experienced HR professional with a solid background in leading HR Teams
- Excellent Relationship Management skills, with the capacity to partner effectively with internal and external stakeholders at all levels.
- Solution‑oriented mindset, proactively identifying risks and opportunities within your area of responsibility
- Good understanding of local labor and tax legislation, supporting correct and compliant HR administration.
- Excellent Written Communication skills, with the ability to prepare professional HR documentation and reports.
- Advanced English language skills, with the ability to communicate clearly and effectively in both written and spoken form
- Strong Presentation Skills and ability to communicate complex information clearly to diverse audiences.
- Experience working with major HR systems, including: SAP HCM Suite, SAP SuccessFactors, GRC / IAM systems
- Advanced user of MS Office (Excel, Word, PowerPoint) with the ability to prepare professional reports and presentations.
