Job Description

KordaMentha is seeking a professional and proactive Team Administrator to support our Townsville office. This role plays a key part in ensuring the smooth day-to-day operation of the office, providing high-quality administrative support while helping to maintain a professional, organised and client-ready environment.

This is a part-time opportunity (approximately 22.5 hours per week), suited to someone who is detail-oriented, process driven and takes pride in delivering a consistently high level of service.

Working closely with Partners, Executive Directors and the broader team, this role offers exposure across multiple service lines and operational functions, fostering strong organisational, stakeholder engagement, and office coordination skills.

Key Responsibilities:

Administration Support

  • Build strong, collaborative relationships with stakeholders across the business
  • Provide general administrative support to Partners, Executive Directors and professional staff
  • Coordinate travel arrangements including flights, accommodation, itineraries and related logistics
  • Prepare and process expense reports in a timely and accurate manner
  • Complete document support tasks, including formatting reports and correspondence, and creating/editing PDFs
  • Assist with ASIC document requests and liaise with relevant platforms (e.g. Equifax Online)
  • Support document production tasks including printing, binding, scanning and mail-outs
  • Maintain and update internal documentation, procedures and office resources
  • Record marketing activities and events in internal systems
  • Coordinate onboarding logistics, including workstation setup and office requirements for new starters
  • Collaborate with interstate Executive Assistants and support teams on meetings and events
  • Provide ad hoc administrative support to other offices as required

Office Coordination & Facilities

  • Maintain the Townsville office to a high professional standard, ensuring shared spaces are clean, organised and well-stocked
  • Monitor office supplies, stationery, amenities and merchandise, including stocktakes and reordering
  • Oversee printer/office equipment functionality and liaise with suppliers for maintenance as required
  • Maintain kitchen, print room and common areas to corporate standards
  • Ensure office signage, notices and resources are accurate and up to date
  • Liaise with building management to log and follow up maintenance requests

Reception & Client Service Support

  • Assist with meeting room setup for client and internal meetings, ensuring rooms are presentation-ready
  • Coordinate catering and refreshments for meetings and office events
  • Provide overflow support for incoming calls, responding in a professional and client-focused manner
  • Deliver a high standard of internal and external client service at all times

Qualifications

  • Previous experience in an administrative, office support or similar role
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Excellent document formatting and administrative capability
  • Strong organisational and time management skills, with the ability to prioritise effectively
  • High attention to detail and accuracy
  • Professional, approachable and customer service-focused communication style
  • Ability to manage competing priorities and work both independently and within a team
  • Proactive, hands-on approach with a willingness to take ownership
  • Adaptable and flexible in a dynamic environment
  • Experience with CRM systems or business platforms is advantageous
