We are seeking an Assistant Manager to join our Advisory team in Port Moresby, with a focus on leading and coordinating our Program Support team. This role is suited to a highly organised, practical and detail-focused professional who can manage competing priorities, coordinate multiple stakeholders, and help ensure that client programmes are delivered efficiently, accurately and with strong financial discipline.
As Assistant Manager, you will play a key role in the day-to-day coordination of program support activities, including financial administration, cost tracking, supplier coordination, client communication, logistics support, event coordination, purchase order processes, payment support, reconciliations, billing inputs and documentation. The Program Support team supports the delivery of programme activities by helping ensure that requests are properly planned, approved, documented, delivered and closed out.
You will work closely with partners, managers, consultants, clients, suppliers and internal finance teams to keep activities moving from initial request through to delivery, payment evidence, billing and recovery. This will require strong organisation, clear communication, sound judgement, and the ability to follow up consistently on outstanding actions.
This is a hands-on role. You will be expected to supervise and support a small team, review work for accuracy, escalate issues early, maintain clear records, and contribute to a professional and responsive client service culture.
Key responsibilities
In this role, you will:
- Lead and coordinate the day-to-day work of the Program Support team, ensuring tasks are allocated, followed up and completed on time.
- Manage multiple program support requests across different clients, activities and timelines.
- Coordinate activity set-up, supplier requests, quotations, booking confirmations, logistics arrangements, payment support and close-out documentation.
- Support the preparation and review of purchase orders, payment files, supplier invoices, remittance information, reconciliations and billing support packs.
- Maintain clear trackers and records to support activity status reporting, approvals, billing readiness and audit-ready documentation.
- Liaise with clients, suppliers, and internal KPMG teams to progress requests and resolve issues
- Review outstanding items, follow up delays, identify issues and escalate matters requiring partner or manager input.
- Support the recovery of program-related costs by ensuring that expenditure is properly approved, documented, reconciled and available for billing.
- Mentor and support junior team members, helping build discipline around documentation, follow-up, client communication and financial control.
- Contribute to a positive, professional and collaborative team environment.
Qualifications
- At least five years’ relevant work experience in program support, finance administration, project coordination, grants administration, event coordination, operations, professional services or a related role.
- Experience managing multiple workstreams, deadlines and stakeholders at the same time.
- Strong attention to detail and the ability to maintain accurate records.
- Practical experience with payments, supplier coordination, purchase orders, invoices, reconciliations, billing support or financial administration.
- Strong written and verbal communication skills.
- Good working knowledge of Microsoft Excel, Word and Outlook.
- A professional, responsive and client-focused approach.
- The confidence to follow up, escalate issues and keep tasks moving.
- The ability to work effectively in a team and support junior staff.
- Tertiary qualifications in accounting, commerce, business, finance, management or a related field are desirable, but not essential where the candidate has strong relevant experience.
