Executive Assistant

  • Full-time

Job Description

Your opportunity

We have an exciting opportunity for an Executive Assistant to join KPMG’s Leadership Support Team in the Geelong office on a full-time basis. Supporting the Geelong Geographic Lead Partner and a portfolio of virtually supported Partners, you will provide reliable, proactive and professional executive support that helps senior leaders stay organised, connected and focused on their priorities.

This is a broad and visible role for an experienced Executive Assistant who enjoys building trusted relationships, coordinating competing priorities and contributing to a positive, professional and well-connected office environment.

What makes this role different: You will combine dedicated support for the GEO Lead Partner with virtual support for other Partners, while playing an active part in the day-to-day connection and professional presentation of KPMG’s Geelong office.

Key responsibilities

  • Manage complex diaries, meetings and priorities for the GEO Lead Partner and allocated Partners.
  • Resolve scheduling conflicts, monitor deadlines and highlight priority matters.
  • Coordinate meetings, agendas, briefing papers, presentations and follow-up actions.
  • Manage correspondence, travel, expenses, invoices and other administrative requirements.
  • Act as a professional point of contact for clients, visitors and internal stakeholders.
  • Prepare, proofread and distribute documents, proposals and meeting materials.
  • Support front-of-house coverage, room bookings, catering and visitor arrangements.
  • Coordinate local communications, staff engagement activities and office events.
  • Support client, business development, industry and community events.
  • Build strong relationships and identify practical ways to improve processes and service delivery.

Your experience

You will bring a combination of the following skills and experience:

  • Previous experience in an Executive Assistant, Personal Assistant or senior administrative support role, ideally within professional services or a similarly complex environment.
  • Strong diary, meeting, travel, email and priority-management capability, with confidence supporting multiple senior stakeholders.
  • Excellent organisational skills, attention to detail and the ability to manage competing priorities without losing follow-through.
  • Clear, professional written and verbal communication skills.
  • Sound judgement, discretion and integrity when handling confidential or sensitive information.
  • A proactive, practical and solutions-focused approach, with the confidence to work independently and take ownership of outcomes.
  • Confidence working with senior internal and external stakeholders, both in person and virtually.
  • Strong capability in Microsoft 365, including Outlook, Word, PowerPoint and Teams.
  • Experience with Customer Relationship Management (CRM), travel, expense and business management systems is desirable, but not essential.
  • A positive, adaptable and collaborative mindset with a genuine focus on delivering a high standard of service.

Working arrangements

  • This is a full-time role based in KPMG’s Geelong office.
  • Regular on-site presence is an important requirement because the position supports local office responsibilities, client and visitor interactions, and shared front-of-house coverage.
  • The role will provide direct support to the Geelong GEO Lead Partner together with virtual support for allocated Partners in other locations.
  • There may be occasions when reasonable additional hours are required to support business needs.
