Job Description

Position Overview:

The Legal Department Legal Operations Manager is a key role responsible for ensuring the efficient, compliant, and effective operation of KIPP NYC’s Legal Department. This individual will manage contract workflows, support legal operations systems, and maintain critical processes and documentation that enable the organization to operate with integrity and efficiency.

Reporting to the General Counsel, the Legal Operations Manager will partner closely with schools, regional teams, and internal stakeholders to ensure timely contract execution, strong compliance practices, and responsive legal support across the organization.

This role requires a highly organized, detail-oriented professional who can manage multiple priorities, respond quickly to stakeholder needs, and maintain discretion when handling sensitive information, while strengthening systems that support legal and operational excellence.

This is a full-time position with a hybrid schedule, requiring a minimum of three in-person days per week based out of our KIPP NYC Midtown Manhattan office. The role may also include travel to KIPP NYC campuses across the Bronx, Brooklyn, and Manhattan. The cadence and frequency of school visits will be determined by your leadership team.

Duties and Responsibilities:

General responsibilities include (but are not limited to):

Contract Management & Legal Operations

  • Manage the full lifecycle of contract intake, review coordination, and tracking, ensuring timely responses (within 24 hours) to requests from schools and regional teams
  • Maintain and support the continuous improvement of contract playbooks, templates, and standardized provisions in alignment with General Counsel guidance
  • Support implementation, adoption, and communication of contract management systems and tools
  • Track contract status, ensure proper documentation, and maintain organized records for audit and compliance purposes

Systems & Documentation

  • Maintain accurate and secure documentation related to school incidents, legal matters, and internal investigations
  • Support the development and implementation of systems that improve record-keeping, workflow efficiency, and data accessibility
  • Ensure all legal documentation is properly stored, organized, and retrievable in accordance with internal protocols

Compliance & Regulatory Monitoring

  • Monitor updates to New York City and New York State laws and regulations relevant to KIPP NYC operations
  • Provide clear, timely summaries and updates to internal stakeholders to support organizational compliance
  • Support the Legal team in ensuring adherence to applicable legal, regulatory, and organizational requirements

Insurance Claims & Renewals

  • Coordinate the reporting of incidents and claims to insurance carriers in consultation with the General Counsel
  • Lead the annual insurance renewal process, including collecting and verifying information from multiple departments
  • Ensure all insurance documentation is complete, accurate, and properly archived

Invoice Management

  • Manage the submission, tracking, and timely payment of Legal Department invoices
  • Maintain accurate financial records and support budget tracking related to legal services

Communication & Stakeholder Support

  • Serve as a key point of contact for schools and regional teams, ensuring timely, responsive, and solutions-oriented communication
  • Build strong working relationships across departments to ensure legal processes are understood and effectively executed
  • Support a customer-service oriented approach within the Legal Department, ensuring all stakeholders feel supported

Administrative & Team Support

  • Provide additional administrative and operational support to the Legal Department as needed
  • Contribute to continuous improvement of Legal Department systems, processes, and workflows

Qualifications

  • Bachelor’s Degree 
  • At least three (3) years of experience working in a legal department, law firm, or similar setting (e.g., legal administrator, paralegal, or legal operations role)
  • Strong interpersonal skills that contribute to a collegial working environment and a healthy measure of the character traits we value: zest, curiosity, commitment and a sense of humor.
  • Basic proficiency in Microsoft Office and school operations systems
  • Outstanding written and oral communication skills.
  • Excellent at prioritization, with high attention to detail.
  • Proactive, and able to manage high responsibility levels.
  • Passionate about supporting the mission of KIPP NYC and dedicated to professional growth.

Additional Information

Compensation and Benefits:

KIPP NYC offers a salary ranging from $80,340 - $100,940. Salary ranges at KIPP NYC are standardized based on role level and role function. Individual salaries are determined through a lens of equity, accounting for years of experience relevant to the role and scope of responsibilities, and are benchmarked against others within the same salary band.

This is a full-time, in-person role based in New York City and will require travel to our schools. If you are not in a school-based position, the cadence and frequency of travel to schools is determined by your leadership team. If you relocate outside of a commutable distance or out of the state of NY, your employment will be subject to review, which may include separation from KIPP NYC. It is important that you notify HR if you move or have plans to relocate.
