Job Description

Reporting to the Executive Director, the Regional Project Coordinator is a critical member of the regional support team. The regional project coordinator will provide management and technical guidance to ensure the achievement of project objectives and delivery of project outputs across the five KIPP campuses, and the central offices in close consultation with the executive director, Regional Leadership Team, stakeholders, partners and the communities of West Helena/Helena and Blytheville. This position is charged with coordinating high priority projects that support both school based and region wide operations that may require budgeting, purchasing, facilities, technology, student recruitment, student data, regulatory compliance, human resource administration, and academic operations support. The Regional Project Coordinator also provides administrative support to the Executive Director.

This role will also occasionally provide relief to other school and regional operations team leaders while they are on approved long term leave. On all projects and assignments, this position ensures that KIPP Delta meets high standards of excellence, and enables instructional leaders and staff to focus on driving strong student achievement outcomes. Responsibilities include but are not limited to:

Operations Management

  • Coordinate projects to operationalize the region’s academic and cultural vision
  • Coordinate student enrollment and recruitment efforts
  • Support strategic annual planning and budgeting processes.
  • Identify and document best practices
  • Collaborate with teammates across the region to build scalable, region-wide systems, policies, and procedures

 Project Management  

  • Ensure that long and short term regional projects are completed on time, at the desired quality level, and within budget
  • Manage communication with multiple stakeholders
  • Create and maintain appropriate project documentation (i.e. project plans, budgets and reconciliations, and issue logs)
  • Implement local contracting process from RFP, cost analysis to contract award and implementation.

Administrative Support

  • Administrative and general office duties of a responsible and confidential nature. Coordinate off-site meetings and conferences; assist with schedule management; arrange appointments, travel, meetings, conference calls and process expense reports. Provide support to other members of management and department as requested.
  • Manage Projects with an internal focus. Create project plans, including deliverables, activities, timelines and budgets. Ensure milestones are successfully met through the management, tracking and reporting of project progress. Work collaboratively with other departments impacting projects.
  • Work independently under limited supervision to manage project timeliness and risks. Anticipate needs and suggest solutions.
  • Prepare board reports, packets, and minutes. 
  • Coordinate logistics, compile materials for regional meetings.
  • Update and maintain KIPP Delta’s website and  social media pages in conjunction with the Director of Development and Communications.

 

Qualifications

  • Proven work experience as a Project Coordinator or similar role.
  • Experience in project management, from conception to delivery.
  • An ability to prepare and interpret flowcharts, schedules and step-by-step action plans.
  • Solid organizational skills, including multitasking and time-management.
  • Strong client-facing and teamwork skills.
  • Familiarity with risk management and quality assurance control.
  • Strong working knowledge of Microsoft and Google applications.
  • PMP / PRINCE2 certification is a plus.
