Job Description

The Attendance & PEIMS Specialist is a school based position that owns the attendance and student record process. This includes daily attendance, phone calls to families, report cards, compliance based reporting, and support with registration and enrollment. The Attendance & PEIMS Specialist  serves as a key member of the school’s Front Office Team, ensures that the school’s operations meet high standards of operational excellence, and families are offered outstanding customer service.

Specific duties include but are not limited to the following:

  • Supports the school operations manager with collection and reporting of the schools Information Management System (PEIMS) and attendance data.

    • Assist with attendance incentives, truancy tracking, home visits for students who are not engaging.

    • Assist with home visits for chronically absent students. 

    • Serve as System Information coordinator and point person for support

  • Maintain attendance (records) and contact families regarding absences and tardies.

  • Collect medical notes for absences and perform quality control checks on medical notes.

  • Maintain absence, tardy and early pick up log

  • Prepare and submit complete PEIMS student data reports or FSP reports.  

  • Process and manage all new and existing student information in the information management system. 

  • Manage the collection, incorporation and formation of all student data required for PEIMS submission according to PEIMS Data Standards.

  • Collaborate with campus staff (SOM, COM, special populations coordinators) to collect, organize and format data required to submit district PEIMS data in a timely manner

    • Work in conjunction with Campus Operations Manager to collect all relevant data from school staff (e.g. ESL Coordinator/LPAC)

    • Meet all deadlines set by the Campus Operations Manager

  • Store grades into the information management system. 

  • Print, file, distribute and maintain copies of all progress reports and report cards. 

  • Assist with building student schedules and scheduling students in the information management system. 

  • Interface with special populations coordinators to ensure all special populations are identified and coded in the SIS system. 

  • Input discipline data for students. 

  • Expedite all Inbound and outbound record transfers and requests (Trex)

  • Assist with student enrollment and maintain cum file system. 

  • Process student withdrawals and reenrollment and new to KIPP registration

  • Complete audits for withdrawals and attendance including attendance code clean up.

  • Manage student permanent records and forms (personal information, lunch forms, field lesson permission slips, enrollment and reenrollment records)

  • Maintain and update parent contact information in student folders and in Student Information System.

  • Supports the front office team with calls and families when needed.

  • Support with completion of goals toward student and family survey data.

  • Maintain organized front office 

  • Abide by all policies established by federal and state law that apply to charter schools, Commissioner’s Rules that apply to charter schools, and local charter policy.

  • Assist with current student and parent events that may involve planning and executing events. Some hours may involve after work hours or on the weekends. 

  • Assist with planning, execution and attend internal or external events for the purpose of recruitment of new to KIPP families. Some hours may involve after work hours or on the weekends. You must be flexible to work during the evenings and weekends. 

  • Perform other duties assigned to them by their manager. 


 

Other front office duties will include:

  • May have to assist with securing emergency services (fire, police, EMS) in an emergency

  • Maintain all Emergency and Evacuation plans; ensure that they are current and in compliance

  • Ensures all parent facing materials are readily available; copy of the handbook, code of conduct, newsletter, sign-up sheets, etc)

  • Serve as first contact with visitors, parents, etc…(phone, email, in person)

    • Answer incoming phone calls and greet visitors

  • Assist with incoming packages

  • Manage parent requests for homework when child is absent, early parent pick up

  • Manage late arrivals and contact administration when necessary

  • Maintain teacher supplies and workroom and ensure all inventory is kept in stock

  • Contact office equipment vendors when necessary

  • Manage and receive correspondence

  • Compose and prepare all notifications and memos for families, students, and teachers based on school leader preferences in both languages

  • Captures all transportation changes from parents, updates dismissal report, and distributes changes to classroom teachers one hour before dismissal

  • Interact with parents and visitors and serve as ambassador of the school at all times

 

Qualifications

  • Spanish Speaking preferred

  • 2-5 years of experience working in a high school setting is preferred or 1-2 years of experience working in a Middle primary setting. 

  • Experience working in education is required.

  • High school diploma required. 

  • Possess strong interpersonal and customer service skills.

  • Interest in working with students and parents in urban school setting required.

  • Demonstrated ability to perform several tasks concurrently with ease and professionalism.

  • Outstanding organizational skills and high attention to detail.

  • Ability to operate computer and other general office equipment; MS Office skills preferred

  • Ability to communicate clearly and concisely, verbally and in writing.

  • Must have a strong attention to detail. 

  • Must be able to keep student matters strictly confidential.

  • Demonstrated ability to work in a fast-paced, high energy environment with a proven ability to meet and complete multiple deadlines and tasks.
