Contract: Estimated 12 months
This is a contract Recruiting Coordinator engagement supporting a dedicated Product and Design recruiting function at a high-growth fintech company. The team has recently expanded and the volume of scheduling and coordination work has grown significantly. The hiring manager is moving fast and needs someone who can get up to speed quickly and own the coordination workflow end to end.
Day to day, you will own remote interview scheduling across phone, video, and panel formats for Product, Design, and User Research roles. This role requires an in-office presence to greet candidates during on-site visits. Those greet dates fluctuate and are not always the same days each week, so reliability and flexibility with your in-office schedule are essential and the ability to coordinate across the RC team and stay on top of shifting logistics is critical.
You will manage candidate communications, maintain data integrity and job postings in Greenhouse, and support a recruiting team that is actively rebuilding and streamlining its interview processes. This is not a static environment. Interview plans are being revamped, the team is growing, and workflows are being refined. The right person will bring ideas, ask good questions, and help build structure rather than waiting for it to exist. If you have designed RC workflows, built Goodtime templates, or documented scheduling processes at a prior company, bring those examples!
You will partner closely with recruiters and hiring managers to keep pipelines organized, postings current, and candidates well-informed throughout the process. Product and Design interviews often include portfolio reviews and panel formats, so comfort coordinating complex, multi-step interview loops is a plus.
Qualifications
- 1-3 solid years of experience in a Recruiting Coordinator role
- Must be local to the San Francisco Bay Area and able to work in-office 4 days per week; ongoing schedule tied to candidate greet requirements, remote candidates will not be considered
- Excellent verbal and written communication skills with the ability to interact effectively with candidates, hiring managers, and cross-functional recruiting partners
- Proven self-starter who can troubleshoot scheduling and coordination roadblocks independently and operate confidently in an environment where processes are still being built
- Demonstrated ability to manage shifting priorities in a fast-moving, high-volume recruiting environment without losing attention to detail
- Strong integrity and discretion when handling confidential candidate and hiring information
- Proficiency in Greenhouse ATS or Goodtime required; candidates with neither will not be considered
- Experience maintaining ATS data hygiene and job posting management across multiple concurrent requisitions
Preferred Qualifications
- Greenhouse and Goodtime experience strongly preferred for faster ramp; candidates without it should be proficient in at least one comparable scheduling tool
- Prior experience supporting Product, Design, or User Research recruiting teams
- Experience designing or improving RC workflows, scheduling templates, or interview coordination processes
- Background in panel interview coordination or portfolio review scheduling
