Job Description
JOB OVERVIEW
This hybrid role on our Concept Support Services (CSS) team combines responsibilities from operations and our business process coordination, focusing on enhancing efficiency, streamlining workflows, and supporting the overall operational objectives of the company. The operations support coordinator should be comfortable communicating with people throughout the organization, able to solve problems and improvise as needed, and adept at estimating and managing time for various tasks. The ideal candidate will possess strong administrative skills, a proactive approach to problem-solving, and a solid understanding of the Microsoft Office Suite. This role is essential in ensuring our organization's smooth and efficient operations.
Primary Accountabilities:
Operations Processes:
- Maintain and organize operational documentation, reports, and records.
- Stay current with Operations initiatives to appropriately support field operations.
- Assist in the development and implementation of operational processes and procedures.
- Monitor project timelines and deliverables to ensure deadlines are met.
- Ensure compliance with company policies and procedures.
- Analyze current business processes and workflows to identify areas for improvement.
- Develop and implement process improvement initiatives to enhance efficiency and productivity.
- Document new processes, ensuring they are clearly communicated and understood by relevant stakeholders.
- Collaborate with various departments to support operational goals and initiatives.
- Conduct regular process audits to ensure compliance and identify any deviations or inefficiencies.
Administrative Support:
- Provide administrative support to senior management as needed.
- Order awards and supplies and process invoices as requested.
- Set up surveys for multiple departments to review and analyze data.
- Update store database.
- Provide support on presentation creation and formatting for Operations/CSS.
- Compose and distribute franchisee letters for evaluations and other operation initiatives.
- Work with accounting on incentive and bonus processing.
- Manage scheduling and logistics for meetings, events, and travel arrangements.
- Maintain and communicate multiple contact lists for CSS & OPS
- Complete other projects and duties as assigned.
Qualifications
Education and Qualifications:
- High School Diploma or GED equivalent, or equivalent combination of education and work experience.
- 3 years experience in an operations or administrative role.
- Proficient in Microsoft Office Suite (MS Teams, Word, Excel, PowerPoint, Outlook).
- Experience in minute-taking for large corporate or board meetings.
- Working knowledge of other application software (i.e., Smartsheet, Power-Bi, SharePoint)
- Process management experience
- Exceptional organizational skills and attention to detail.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Problem-solving mindset and adaptability to changing priorities.
- Strong analytical and problem-solving skills
- Self-sufficiency and an ability to work with minimal supervision
- Strong verbal and written communication skills
The US national hourly range for this non-exempt position is $26.98-$31.70. The base hourly range displayed reflects the targeted hiring range for positions across all US locations. Individual pay is determined by job-related skills, work location, and relevant education or experience.

Work Environment
Most positions located out of our global headquarters in Bloomington, MN will work a hybrid work schedule where you will work 2 collaboration days a week. Additional in office time may be required to support team/project needs. Positions will be identified as “remote eligible” when consideration will be given to candidates outside of drivable distance to our Bloomington office.
