The Administration team within Finance & Administration at IKEA of Sweden (IoS) (also called IoS Contract Adm team) is responsible for the IoS processes concerning Procurement, Investments and Agreements. 

This includes securing that we have policies and routines in place regarding how we purchase/order indirect material, services and consultants; investment of equipment; Power of Attorney (approval and signatory rights) and agreements. They team also manages archiving of business & governance related documents and other administrative routines.

Job Description

The job is about securing excellent and efficient administrative processes such as routines connected to procurement of professional services, archiving, digital signing, Power of Attorney (PoA) and office administration. To create strategic directions for these areas in line with business goals and to ensure execution and customer satisfaction is the overall purpose. Within the job also lies to lead the F&A Administration team and ensure that daily office operations are performed in a seamless and efficient manner.  

You will set, oversee and maintain IoS administrative processes and to develop, review and improve routines, systems, and procedures to secure that administrative operations run smoothly and efficiently. Secure efficient and relevant handling of business documents and related processes to both legal and internal business requirements.

You will also manage archiving of business & governance related documents and establish as well as maintain Power of Attorney (PoA) and approval limits, adhering to governance set by Board of Directors. Secure deliveries according to agreed goals, the defined F&A wished position and the budget frames. Another important task is to collaborate and be the link and speaking partner towards the Category Indirect Procurement (CAIP) and the legal team in questions connected to agreements, procurement of professional services and sourcing projects .

You need to establish, maintain, develop and follow up relevant KPI´s and measurements within the Administrative areas.
Last but not the least, you are responsible for keeping a good relationship with our internal customers, external parties and all other stakeholders involved in our offered administrative services.

Qualifications

To be successful in this role we want you to have experience from related Administrative field and a general interest in management and administrative efficiency. You are used to and can handle questions and challenges as well as gain insights through analysis.

You have good communication skills, you’re being able to present projects to various stakeholders with insights and proposed actions and you can build strong partnerships with relevant stakeholders, at all levels of the organization.

Furthermore, we would like you to have: 
•    Good language skills in both English and Swedish, to be able to communicate and gather relevant information for the assignment. 
•    Excellent organizational skills
•    Strong networking and co-operation skills, where you strive to build long term   relationships
•    Good analytical skills
•    Develop the business and deliver results, seeing the big picture as well as details 
•    Ability to lead, plan and set-up efficient organizations and teams
•    Solid knowledge from the Service business
Preferably you have a degree in Economics or Business Administration or equivalent and at least five years professional experience from leading a team, most likely in an international environment.
