Job Description

Ingram Content Group (ICG) is hiring for a Administrative Coordinator to contribute to our team in Ingram Publisher Services (IPS)/Publisher Group West (PGW) team in Berkeley, CA.  This will be an onsite position. 

As the Administrative Coordinator, you will oversee the administrative functions of the IPS/PGW Berkeley office to include maintaining vendor relationships, scheduling janitorial services, building security, mailing services, etc. You will coordinate office moves, clean-up, and enhancements as needed, and manage the reception area to ensure front door and telephone coverage. In addition, you’ll assist associates with office questions and concerns.

Required Qualifications:

  • Bachelor’s degree or year for year directly related experience
  • 2 years office/clerical experience in an office environment with physical demands

Preferred Skills:

  • MS Office suite
  • Strong communication skills, written and verbal
  • Ability to lift/carry in full range of motion up to 30lbs

Key Responsibilities:

  • Responsible for the office’s daily operations, including receiving visitors and ensuring sign-in, answering incoming calls, and assisting associates with office-related questions and concerns
  • Primary contact for property management and various vendors, to coordinate building maintenance needs, including electrical, plumbing, and general office repairs
  • Solicits bids from/works with vendors on ad hoc projects, including paint jobs, large trash pick-ups, office enhancements, etc.
  • Works with janitorial service to coordinate ongoing cleaning schedule and special event cleanings
  • Sorts and distributes incoming mail and deliveries
  • Helps coordinate in-office events including sales conferences and special occasions
  • Maintains general cleanliness of break room and bathrooms, orders supplies as needed
  • Provides additional support to Sales and Client Relations teams as needed
