Job Description

We are seeking a highly organised and proactive Senior Office Administrator to ensure the smooth and efficient running of our office operations while providing dedicated support to the Managing Director. This role is responsible for overseeing facilities management, vendor coordination, office administration and supporting the HR team with employee onboarding and offboarding. 

What you'll do

  • You'll manage the procurement and inventory of office supplies, stationery, and pantry items, ensuring adequate stock levels are maintained at all times.
  • You'll maintain office records, filing systems, and administrative documentation.
  • You'll support the Compliance Team and Company Secretary in completing and filing standard Authorised Individual applications and notifications with applicable regulators and company registries.
  • You'll provide comprehensive administrative support to the MD, including calendar management, meeting coordination, and travel arrangements.
  • You'll support the HR team with employee onboarding and offboarding by coordinating IT access, equipment issuance, and retrieval.

Qualifications

  • You have proven experience in office administration or facilities management within the Middle East
  • You are proficient with Microsoft Office applications and enterprise systems 
  • You have the ability to remain organised whilst dealing with competing demands 
  • You have experience of providing executive support, such as diary management and meeting coordination (highly desirable)
