This is a full-time role based in the Vancouver office. 

Job Description

Overview: Our Vancouver, BC office is searching for an Administrative Assistant, who will work closely with the Directors.The ideal candidate will have experience in a similar role, and possess proficiency in Microsoft: Word, Excel, Outlook, Teams, Projects and Power Bi, and strong typing skills. In addition, possess strong organizational and problem-solving skills with a keen eye for detail.

Responsibilities:

    • Provide administrative support to Architectural Principal
    • Assisting in preparation of and follow-up support for proposals, contracts and fee letters, presentations and other correspondence
    • Tracking and inputting proposal and contractual documents to Arcadis's CRM and Project sites
    • Coordinating meetings, assisting with submissions and other architectural tasks as required
    • Email support including message prioritization, filing and redirection
    • Screening calls, taking active messages, and redirecting when prudent
    • Virtual Meeting arrangement and booking
    • Maintaining project lists and contact lists
    • Project filing and other document handling as required
    • Submitting expense reports and timesheets
    • Travel arrangement and booking
    • Liaising with the departmental teams and office groups as necessary

Qualifications

Qualifications:

  • Minimum high school diploma. Post-secondary university or college degree desired.
  • Minimum 3 to 5 years' experience working in a large office or work environment.
  • Experience working in a large office or work environment
  • Highly capable with Microsoft Office programs, particularly Word and Excel
  • Cross utilization abilities with Mac & PC necessary
  • Professional and pleasant phone manner
  • Information managements skills (filing, IT processes, etc);
  • Confident with the ability to build strong working relationships
  • Energetic, diplomatic, flexible, problem-solving mindset
  • Strong organizational and prioritizing skills with the ability to take initiative
  • Proven multitasking and time management skills with ability to prioritize effectively with strict deadlines.
  • Keen attention to detail and quality checking mindset.
  • Strong written and verbal skills with the ability to proofread documents and communications.
  • Architectural / Engineering / Real Estate Development experience beneficial
  • Ability to anticipate needs and meet expectations
  • Experience assisting executive level personnel
  • Proactive
  • In the office 3 to 5 days a week

The salary range for this position is CAD 50,000 - 60,000. Actual salaries will vary and are based on several factors, such as experience, education, budget, internal equity, project and location.
