We are seeking a highly organised, detail-oriented Gifts in Wills Administrator to support the effective administration and stewardship of our Gifts in Wills programme.
This role plays a vital part in ensuring supporter information is accurately maintained, Gifts in Wills records are managed with care, and data from a variety of sources is processed and reported effectively. A key focus of the role will be maintaining the integrity of our supporter database, analysing and updating records, and supporting a significant programme of data updates arising from donor interactions.
The successful candidate will provide administrative support across the Gifts in Wills portfolio and wider Fundraising team, maintain accurate records and reporting, and help deliver exceptional donor care.
Key Responsibilities
Maintaining Gifts in Wills records within the organisation's CRM/database.
Support Gifts in Wills inbox organising, responding to enquiries, prioritising requests, and ensuring timely follow-up and action.
Assist with data quality activities, including reviewing records, identifying discrepancies and updating information as required.
Prepare reports, reconciliations and data summaries using Excel and CRM systems.
Ensure accurate recording, tracking and reporting of Gifts in Wills enquiries, prospects, pledges and confirmed gifts.
Coordinate and record supporter stewardship activities, including thank you calls, follow-up communications and acknowledgements.
Provide administrative support to the Gifts in Wills Manager, including calendar management, meeting coordination, document preparation, printing and other administrative tasks as required.
This is a 12 month fixed term position working 34 hours / week. Monday - Thursday 8:30am - 5pm and Fridays 9am - 1pm.
Qualifications
Ko wai koe - About you:
This position would suit an experienced administrator who enjoys working with data, takes pride in accuracy, and is confident using Excel and database systems.
Proven administrative experience, ideally within fundraising, customer services administration or a similar environment.
Intermediate to advanced Microsoft Excel skills, including the ability to sort, filter, reconcile and analyse data.
Experience working with databases or CRM systems and maintaining data accuracy and integrity. Experience in using Salesforce CRM is an advantage
Confidence working with large datasets and performing data entry, validation and quality assurance tasks.
Excellent organisational and time management skills, with the ability to manage competing priorities.
Strong written and verbal communication skills.
Ability to pivot and work independently while contributing positively to a team environment.
