Job Description

  •   Supervise Premise for its optimum use and ensure appropriate upkeep and maintenance as per FAB standards
  •   Supervise Facilities for its healthy and sustained use to support the business
  •   Supervise Assets and Records in compliance with regulatory & Group standards
  •   Supervise Health, Safety & Environment and Security at GBS
  •   Lead and effectively manage the Contractors to ensure successful and timely delivery of defined goals / objectives
  •   Supervise business management to ensure continuous improvement in processes, SLAs and customer service standards and execute governance to ensure compliance to regulatory mandates, standards and policies. Execute to drive change and consistent improvements
  •   Prepare MIS and analytics to bring in process efficiencies, service improvements, automation/digitization as required.

Generic Accountability

  • Knowledge of services

Knowledge of Corporate services provided by the relevant market segment to support the GBS strategic growth plans. Knowledge of GBS presence, growth strategy and key focus areas.

  • Industry Knowledge

Knowledge and appropriate use of market intelligence and their impact on Services at GBS; statistical and graphical reporting to HCS to help decision making.

  • Data Analysis and Financial Modelling

Determining trends from raw data to assist HCS in decision-making, forecasts and budgeting. Achieve savings and optimization targets as defined

  • Risk Management Skills

The ability to identify, assess and mitigate the operational, technical and commercial risks associated with the relevant operations.

  • Developing Business Relationships

Sustain mutually beneficial business partnerships internally & externally

A.   Premises:

1.     Supervise the FAB GBS Premises by ensuring optimum use of space

2.     Monitor and ensure facilities maintenance (hard and soft) aspects are efficiently operated as per Group standards

3.     Efficient operations of maintenance contracts/engagements with vendors to ensure services are managed and delivered as per SLAs and qualitative deliverables are monitored, measured, reported and used for effective negotiations

4.     Oversee soft services staff performance and deliverables

5.     Consistently work towards premise standards and facilities service improvements within overall approved budgets

6.     Supervise related Contracts, Licenses & permits and always ensure timely renewals as per jurisdictional requirements

7.     Ensure appropriate management of lease agreement, timely renewals and related payments

B.    Fixed Assets & Records Management

1.     Operate efficient management of Banks Fixed Assets, control and track movement of assets and ensure asset reconciliation as per Group policy

2.     Supervise to ensure appropriate upkeep and maintenance of Banks assets

3.     Liaise with HO for assets register update and depreciation as required

4.     Operate the Records Management function process, systems and related resources for appropriate management of Banks Records as generated at GBS

5.     Ensure optimum records storage space utilization and records destruction process is followed in alignment with regulatory & policy mandate whilst ensuring efficiency in resource spend

6.     Ensure to maintain an updated Records Asset Register for records generated at GBS as per regulatory mandates

C.    Health, Safety & Environment and Security

1.     Operate to manage the Health, safety & environmental initiatives for GBS

2.     Ensure Health, safety & Security standards are in compliance with regulatory mandates and aligned to Group Policies

3.     Ensure safety & security systems are operated, well maintained and always as per defined health standards

4.     Operate staff ID / Access Cards generation process, issuance, records keeping and reconciliation as per FAB policy and procedure.

D.   Market Insights, data analysis and presentations:

1.       Keep abreast of market trends, carry out data analysis of existing spends/engagements to identify and share propositions for further enhancements and opportunities to align/exceed benefits to Bank

E.     Staff Development and Team Motivation

  1.  Undertake supervisory role to improve the internal cohesion, build high morale and professional satisfaction of the team.
  2. Conduct regular Contractors meetings ensuring that issues are mitigated, minutes are taken and agreed action points are implemented on time.
  3. Motivate the Contractors and resources, ensure high levels fo employee engagement

F.     Financial

1.     Ensure appropriate and optimum use of operational budget (all costs)

2.     Execute spend monitoring techniques and achieve financial savinsg as per target

G.   Alignment with HO

1.     Align with HO function to manage global initiatives successfully for GBS

Ensure appropriate support and consistent liaising with HO function to achieve synergy and collaboration.

 

Qualifications

  •   University Graduate, preferably Engineering &/or minimum of 5 to 10 years of experience in the Corporate Services field (primarily Property management, Assets & Records management, HSE & Safety, General Admin Services, Logistics Management, Vendor Management etc)
  •   Good knowledge of Premise Management.
  •   Good knowledge of Local market, Products and Services.
  •   Strong negotiation skills and Vendor Management.
  •   Team and Process management skills
  •   Good English Language skills are required for the effective performance of the job.
