Job Description

A full-time position leading the administrative functions associated with the Real Estate and Global Sourcing practice group, including contract administration management, assisting in managing the contracts database, drafting and reviewing standard form commercial real estate transactions and procurement contracts, and helping the team meet organizational goals and requirements, in addition to performing duties to support practice group attorneys and departmental team initiatives. 

Responsibilities

  • Providing general office and administrative support.  
  • Provide advice and support on contract administrative matters for the Real Estate and Global Sourcing practice group.
  • Provide effective written and oral communications to internal and external stakeholders.
  • Exercise independent judgment and discretion in order to meet deadlines, accomplish tasks and escalate matters to attorneys as appropriate.
  • Exercise sound business judgment with a commitment to teamwork, integrity, and collegiality.
  • Work collaboratively with business partners to advance the Company’s strategic initiatives, enablers, and goals.
  • Interest in and curiosity about the contract administration function, including contract lifecycle management, knowledge management, enabling self-service templates, administering contract playbooks, and facilitating process optimization.
  • Taking ownership of ensuring an efficient, accurate and complete contract administration function, including: record-keeping, metrics, data analytics, contract portfolio analyses, and supporting technology and business process improvement initiatives and projects. 
  • Commitment to continuous learning about the  practice group and Company in order to anticipate legal risks and support evolving needs.
  • Support in-house counsel in drafting, reviewing and redlining legal documents related to the Company’s real estate assets and procurement contracts, including but not limited to, leases, vendor contracts, amendments, estoppels and non-disturbance agreements.
  • Prepare formal notices in accordance with lease or contract terms, including exercise of lease options or default notices.
  • Checking and editing legal forms, reviewing preparing and drafting standard contract documents including leases; drafting related contract transaction summaries for internal approval.
  • Research inquiries from internal stakeholders regarding lease and contract issues and obligations in coordination with playbooks, guidelines, attorney supervisor and colleagues; recommend proper course of action in consultation with in-house counsel to bring resolve issues.
  • Manage organization of electronic and hard filing systems for practice group’s documentation, including working with the contracts database/repository; periodic reporting on key contract metrics.
  • Collaborate with accounting team and Geo leaders to support the lease administration workflow.
  • Manage and document legal workflow processes for lease and contract review process, approvals and signatures.
  • Manage other delegated projects that support the practice group’s initiatives, including coordinating resources and collaborating with internal and external parties as required.  
  • Develop, implement, and oversee sophisticated document production projects for real estate or procurement litigation as needed.
  • Maintain the Real Estate and Global Sourcing Group’s insite and collaboration site pages.
  • Effectively handle pertinent legal matters and projects that arise or are assigned within the practice group, while seamlessly referring other matters to the other applicable practice group(s) and remaining engaged to collaborate on any joint matters or other Departmental projects.
  • Proactive commitment to follow through on assignments; research and resolution of non-routine matters; complete other projects as assigned.

Qualifications

Education and Experience

  • Juris Doctor or equivalent international degree.
  • 3+ years of experience working within a law firm or in-house legal department.
  • Experience performing the functions of a contracts manager or substantially similar experience, preferably in a corporate real estate environment.
  • Experience in contract management/negotiation, document/knowledge management systems, and project management preferred.
  • Intermediate knowledge of legal principles, practices, terminology and legal research techniques.
  • Thorough knowledge of legal and business communication practices. 
  • Strong analytical, written, and verbal communication skills, with strong attention to detail.
  • Tech-savvy with the ability to adapt to and embrace legal process optimization tools and technologies, and proficiency in the Microsoft Office suite of products and Adobe in performing a variety of computer-based tasks: creating and maintaining spreadsheets, creating/formatting documents (in word and pdf), tracking and managing deadlines. 
  • Fluent oral and written English required and fluency in additional languages an asset.

A successful candidate must pass Expeditors’ pre-employment background check.

  • Expected base salary: $70,000 - $82,000
  • Eligible for bonus
