Job Description

Expeditors is looking for a highly motivated and enthusiastic individual to fill the position of Executive Assistant - Finance, reporting directly to the VP, Finance. The Executive Assistant is responsible for a variety of tasks supporting our VP - Finance, CFO and Board of Directors. To be successful in this role, you must have a high level of professionalism, integrity and discretion in interacting with internal and external leaders and handling sensitive and confidential information.

Major Duties and Responsibilities:

  • The mission of the role is to partner with the VP, Finance to make them and their department as successful as possible.
  • Serve as liaison among executives, employees, clients and other external partners, building effective working relationships with key stakeholders
  • Maintain confidential information and ensure appropriate handling
  • Complex calendar management and meeting/event coordination, including scheduling across multiple locations and time zones
  • May or may not have access to or manage email for a VP
  • Arrange and schedule domestic and international travel itineraries and timely reconcile expenses
  • Develop and assist with meeting/event agendas and materials
  • Take meeting notes and track and drive completion of key deliverables and follow up on outstanding items
  • Organize and execute team activities and social events
  • Serve as a resource to the direct reports of the VP-Finance
  • Consistently anticipate needs and identify areas of opportunity for improvement
  • Maintain comprehensive and accurate records
  • Proofread and format documents including memos, emails, presentations, and reports
  • Keep current with new technology and tools and serve as the 'dept. expert' on various platforms
  • Perform minor accounting duties
  • Other special projects as assigned

Qualifications

Three or more years of work experience as an Executive Assistant, Personal Assistant or similar role.

  • Excellent MS Office knowledge
  • Demonstrated ability to multi- task

Additional Information

Expected base salary: $80,000 - $90,000

Location

This position is on-site and will reside in the greater Seattle, WA. area at one of the following locations depending on availability. Candidates must be local or willing to relocate. Relocation assistance is not offered for this position.
