Job Description

The Office Administrator is responsible for the efficient day-to-day operation of the office, ensuring a safe, functional, and engaging workplace environment. The role oversees office administration, facilities management, health & safety compliance, vendor relationships, workplace services, and employee experience activities.

Key Responsibilities:

  • Serve as the primary contact for landlord.
  • Act as the primary point of contact for local office communications related to administration matters.
  • Manage all courier and postal services, including incoming and outgoing deliveries.
  • Coordinate and organize staff events, team gatherings, and office celebrations, including venue selection, logistics, suppliers, and on-the-ground execution.
  • If needed, maintain office supplies and ensure adequate stock levels.
  • Manage office-related purchase orders, invoices, and expense records.
  • Support onboarding and offboarding processes from an office administration and IT perspective (e.g. laptop set up).
  • Maintain accurate office records, documentation, contracts, and service agreements.
  • Ensure office facilities are maintained to a high standard and are fully operational.
  • Ensure the workplace complies with all applicable local occupational health and safety regulations and legislation.

Qualifications

  • Bachelor's degree in Business Administration, Facilities Management, Hospitality Management, or a related field preferred.
  • Minimum 3-5 years of experience in Office Management, Facilities Management, Workplace Operations, or a similar role.
  • Experience managing office vendors, contractors, landlords, and service providers.
  • Experience coordinating corporate events and employee engagement activities.
  • Knowledge of workplace management tools and systems. 
  • Proactive and hands-on approach.
  • Service-oriented mindset with a strong focus on employee experience.
  • Strong sense of ownership and accountability.
  • Ability to build effective relationships across all levels of the organization.
  • Flexible and adaptable in a fast-paced environment.
  • Professional, reliable, and highly organized.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
