Job Description
The purpose of this job is to work as part of a team providing operational support across sample registration, reporting, logistics coordination and operational customer communications within the Service Centre. Working as part of the Analytical Services / Operations function, the Cross Sales Technical Assistant supports the accurate receipt, registration, tracking and progression of customer samples through the testing lifecycle. The role combines technical administration, sample management, reporting support, logistics coordination and mailbox-based outbound communications to help ensure efficient workflow management, timely result delivery and clear operational follow-up.
Please note this is a full time role working 39 hours per week - Monday, Tuesday, Thursday and Friday 09:15 till 17:30 and Wednesday 09:00 till 17:30.
Full training for this role will be provided.
- Receive, check, sort and process incoming samples in line with documented procedures for transfer to partner testing laboratories ensuring appropriate temperature control, storage and prevention of cross-contamination.
- Accurately register customer samples in eLIMS, ensuring customer, sample and testing information is complete and correct.
- Verify supporting documentation, testing requirements and sample condition prior to registration or escalation.
- Undertaking day to day effective, accurate and efficient processing of workload within the Service Centre and perform tasks assigned by the Cross Sales Operations Manager.
- Adhere to regulations and laboratory policies regarding health and safety and maintain a clean and hygienic working environment
- Assist with sample disposal and general cleaning and maintenance.
- Monitor sample progress, reporting queues and outstanding results to support on-time result delivery.
- Follow up on outstanding results with partner / subcontract laboratories where required to support timely reporting.
- Issue or coordinate operational notifications relating to reporting updates, result availability, delays or missing information.
- Prepare sample shipments and associated documentation for subcontract laboratories and customers where required.
- Maintain accurate and systematic records relating to sample registration, testing and reporting activities.
- Undertake general technical administration duties to support the effective operation of the business.
- Monitor assigned shared mailboxes and respond to operational queries in a professional and timely manner.
- Provide outbound client communications relating to sample receipt, testing progress, logistics updates, reporting notifications and delay updates.
- Route queries to the appropriate department or operational owner where technical input, complaint handling or decision-making is required.
- Ensure communications are clear, accurate and aligned with documented processes and available information.
- Maintain records of relevant communications and follow-up actions.
- To have a sound knowledge of relevant documents within the Quality system including SOPs, Quality Manual, and relevant methods applicable to the post.
- Participate in the training programme, undergoing further training as required and participating in schemes to ensure on-going competence.
- Additional duties as required to fulfil the requirements and demands of the Service Centre.
Qualifications
- Secondary level qualifications to include English, Mathematics, Science.
- Proficient in use of MS Office packages in particular Excel.
- Excellent keyboard skills.
- Excellent standard of written and spoken English and numeracy skills.
- Hard working self-motivated and professional team player.
- Ability to work well under pressure.
- Excellent attention to detail.
- Ability to multi-task, prioritize, organise and co-ordinate your own workload.
- Flexibility.
