Job Description
The Manager - Sample Management is responsible for overseeing all aspects of sample lifecycle management within a laboratory or manufacturing environment. This role ensures accurate receipt, logging, storage, tracking, distribution, and disposal of samples while maintaining the highest standards of quality, compliance, and efficiency. The position also provides leadership to teams supporting sample handling operations and serves as a key point of contact for clients.
Responsibilities
- Lead sample management teams, including group leaders and sample coordinators, within client laboratory environments
- Oversee the end-to-end sample lifecycle, including receipt, accessioning, labeling, storage, tracking, distribution, and disposal
- Ensure proper chain-of-custody procedures and data integrity for all samples
- Maintain compliance with GMP, GLP, and internal quality standards for sample handling and documentation
- Coordinate sample logistics to support testing timelines and client deliverables
- Organize and allocate personnel and resources to ensure efficient sample throughput and timely processing
- Monitor and improve sample management workflows to maximize productivity and minimize errors
- Ensure accurate entry and maintenance of sample data in LIMS or related systems
- Serve as a subject matter expert for sample handling processes and provide guidance to clients and internal teams
- Identify and implement process improvements to enhance sample tracking, storage, and retrieval efficiency
- Conduct monthly one-on-one meetings with direct reports and engage regularly with client stakeholders
- Ensure adequate coverage and performance through effective scheduling and workforce planning
- Support audits, inspections, and regulatory inquiries related to sample management activities
- Disseminate administrative and operational communications to staff
- Assist Director with operational planning, reporting, and business initiatives
- Foster a culture of quality, teamwork, accountability, and continuous improvement
Qualifications
The Ideal Candidate Will Have:
- Strong scientific background with hands-on experience in sample management, sample coordination, or QC laboratory operations
- Demonstrated leadership experience managing teams in laboratory or regulated environments
- In-depth understanding of sample handling best practices, chain of custody, and data integrity principles
- Experience working with LIMS or other laboratory data systems
- Strong organizational and logistical planning skills with ability to manage high sample volumes
- Excellent communication skills and ability to collaborate with clients and cross-functional teams
- Strong attention to detail and commitment to quality and compliance
- Ability to multitask, prioritize, and adapt in a fast-paced environment
- Proven ability to identify workflow gaps and implement process improvements
Minimum Qualifications
- Bachelor’s degree in Biology Chemistry, Pharmaceutical Science, or related scientific discipline (or equivalent experience)
- 4+ years of experience in sample management, sample handling, or QC laboratory operations in a pharmaceutical or regulated setting
- 4+ years of people leadership or supervisory experience
- Authorization to work in the United States indefinitely without restriction or sponsorship
Additional Information
The position is full-time, Monday-Friday, 8:00am-5:00pm, with overtime as needed. Candidates living within a commutable range of Rensselaer, NY are encouraged to apply.
