Job Description
Overview:
The Scheduling and Hospitality Coordinator is responsible for scheduling participants to be in studies, networking to find participants, managing hospitality needs, and various administrative tasks.
The primary responsibility for this role is to schedule of participants:
1. Study Participant Scheduling
- Meet with the project lead to understand the requirements of the study as it relates to the participant criteria.
- Use an established database to pre-screen for individuals that may qualify to be in the research study.
- Send out blast emails to potential participants to have them fill out a short survey to see if they might qualify.
- Develop a screening tool in Microsoft excel to document the screening criteria that is then used to fill in with qualified participants, referrals, leads, and holds.
- Using a participant screener, follow up with phone calls to ask individuals specific questions to see if they meet the criteria.
- If the individuals meets the criteria, schedule the individual to be in the study at a time that is available in the study schedule.
- Prior to the study dates, call and text each participant to confirm their session time.
- Must be comfortable resolving/juggling last minute scheduling issues (cancellations, time slot changes etc)
- Answer questions, provide directions, troubleshoot any issues with scheduling.
2. Networking
To help expand our participant database:
- Proactively work with the team to identify opportunity areas for networking.
- Work with foundations, societies, and other groups to help find participants to be in studies.
3. Hospitality
In support of user sessions at the lab:
- In preparation of study weeks, manage the ordering of study supplies, food, and snacks.
- During study weeks, ensure client needs are met by ordering lunch, prepping food areas, printing copies, etc.
- During study weeks, check in study participants and process paperwork.
4. Administration
In addition to project responsibilities, the Scheduling and Hospitality Coordinator will:
- Manage the lab inventory and order new supplies as needed .
- Ensure that all paperwork has been filled out and filed correctly for archiving purposes.
- Carry out other tasks as requested by the management team.
- Answering incoming calls, inventory incoming packages, and prepare/send outgoing packages.
Qualifications
- Associate degree from a recognized college.
- Experience with scheduling.
- Experience with customer relations and/or hospitality management.
- Working knowledge of computer applications such as Microsoft Office and Teams.
- Must be proficient with iPhones with regards to texting, calling, sending links, etc.
- Be proficient in Microsoft Sharepoint, Teams, and using file explorer to find documents.
- Be proficient in Microsoft Word and Excel (creating and editing spreadsheets, using simple formulas to tabulate information)
- Have experience sending packages using FedEx/UPS.
Additional Information
Position is full-time, Monday - Friday 8:00pm - 5:00pm. Candidates within a commutable distance of Charlotte, NC are encouraged to apply.
