Job Description

We are seeking a highly organized and detail-oriented Document Controller / Project Coordinator to support our Marine Division in Abu Dhabi. The successful candidate will be responsible for managing project documentation, coordinating project-related activities, maintaining records, and supporting project teams to ensure efficient execution of marine construction and maintenance projects.

Key Responsibilities

  • Manage, control, and maintain all project documents, drawings, correspondence, and records.
  • Ensure proper filing, tracking, distribution, and archiving of project documentation in accordance with company procedures.
  • Maintain document control registers and monitor document revisions and approvals.
  • Coordinate with project managers, engineers, clients, consultants, subcontractors, and suppliers regarding project documentation and administrative matters.
  • Prepare and submit project reports, meeting minutes, progress updates, and presentations as required.
  • Track project deliverables, action items, and deadlines to ensure timely completion.
  • Support project mobilization and resource coordination activities.
  • Assist in preparing technical and commercial submissions, permits, and project correspondence.
  • Monitor incoming and outgoing documents to ensure compliance with project requirements.
  • Maintain project databases and ensure accurate record keeping.
  • Coordinate internal and external meetings and follow up on action items.
  • Assist the Marine Project Team in day-to-day project administration and coordination activities.

Qualifications

  • Bachelor's Degree or Diploma in Business Administration, Engineering, Project Management, or a related field.
  • Minimum 5 years of experience in document control and project coordination, preferably within marine, infrastructure, construction, or EPC projects.
  • Strong knowledge of document control procedures and project administration practices.
  • Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
  • Experience using document management systems (Aconex, EDMS, SharePoint, or similar platforms) is preferred.
  • Excellent communication and coordination skills.
  • Strong organizational and multitasking abilities.
  • Ability to work effectively in a fast-paced project environment.
  • Experience working on marine construction, dredging, ports, harbours, bridges, or offshore projects will be an advantage.
