Job Description
The Office of Legal Affairs (OLA), inside the Administration and Finance Division, is looking for an experienced Paralegal to contribute to the department’s success. Under the direction of the Senior Vice President, General Counsel and Board Corporate Secretary, the Paralegal will provide legal and administrative support to OLA with specific emphasis on regulatory compliance programs, administrative matters, and providing assistance to attorneys handling international and compliance matters. The incumbent will collaborate with the staff of OLA, maintain department records and files, support the development, delivery and coordination of legal services, and manage the implementation of OLA programs and initiatives in U.S. and international EDC offices.
As part of the OLA team, the Paralegal will:
- Assesses priorities competently and manages a variety of activities simultaneously and professionally and helps to ensure that issues directed to OLA are dealt with in a timely and appropriate fashion and are calibrated with departmental and organizational results.
- Advises the OLA team on matters affecting effective operations and refines protocols and carries out responsibilities as assigned, suggesting new approaches, policies, and procedures to effect continual improvements in efficiency of OLA and services performed.
- Is knowledgeable about all OLA processes and requirements; remains current in evolving compliance and legal requirements, assists with implementation of new or revised policies initiated by the OLA.
- Provides assistance to and liaison with outside counsel, in connection with pending litigation and other projects for which outside counsel is retained.
Registrations/Employment:
- Oversees international registration process, including performing preliminary research regarding registration options, drafting and tracking corporate paperwork needed for starting new registrations and maintaining existing registrations and obtaining approvals/stamps signatures as needed. Also responsible for deregistrations internationally.
- Assists with research into country-specific labor laws in international locations and assists with the development of international employment contracts to ensure compliance with local labor laws, EDC policies, and approved applicable US government policies.
- Assists with corporate paperwork and filings needed to ensure domestic registrations are current.
Data Privacy:
- Conducts research on data privacy best practices, emerging trends, and legal requirements to stay up-to-date with industry standards and assists in data privacy administration, ensuring compliance with relevant privacy laws and regulations.
- Stays informed about data breaches, privacy incidents, and regulatory developments, and provide timely updates and recommendations to the team.
Legal Administration:
- Manages administrative support for the General Counsel.
- Assists with the Office of Legal Affairs budget and process, managing subscriptions and memberships, invoicing and expense tracking.
- Assists with insurance matters, monitors claims and the renewal process.
- Assists with implementation of new or revised policies initiated by the OLA.
- Coordinate with General counsel and Senior Leadership Team to plan and deliver Board meetings.
Qualifications
This position requires educational achievement; excellent writing skills; demonstrable initiative, creativity, and flexibility; ability to work independently and effectively in groups; and strong interpersonal & organizational skills.
Required education/experience:
- Bachelor’s degree or equivalent combination of training & experience
- At least 6 years related legal experience in a law firm or in-house environment
- Demonstrable organizational and troubleshooting skills
- Strong analytical skills and aptitude for details
Preferred skills/experience:
- Paralegal certification
- Project management

This position offers an anticipated annual base salary range of approximately $75,000 – $80,000. Salary offers are made based on market analysis and internal equity.
