Job Description

PROJECT DESCRIPTION

The five-year READ II project, funded by USAID, will boost the quality of literacy instruction and student support, reaching out to children at risk of failure and dropout caused by cognitive, emotional and physical effects of hunger, violence, and displacement. READ II seeks to better equip teachers with effective early grade reading instruction techniques and materials in seven mother-tongue languages and English, while simultaneously building a culture of reading in the school, home and community.

POSITION SUMMARY

The Logistics/IT Coordinator will perform a broad range of clerical, secretarial and reception duties and be responsible for providing technical support to all IT related issues for the regional office including but not limited to installation and testing of workstations, client software, upgrades, and configuration. S/he will provide timely staff services and efficient office operations in the areas of: voice communications, mail, inventory management, supplies and equipment maintenance.

REPORTING & SUPERVISION:

The IT Coordinator will report to the Regional Finance Coordinator and coordinate with the Logistics Manager, IT Coordinator, and Procurement Officer in the Addis Ababa office. 

ESSENTIAL FUNCTIONS

Primary Logistics Responsibilities:

  • Conducts coordination of vehicles and drivers.
  • Provides oversight of vehicle logs, vehicle maintenance; identifies vehicle needs and reviews driver timesheets.
  • Coordinates transportation and delivery of procurement and inventory.
  • Responds to procurement/logistics requests related to supplies, materials for project activities.
  • Handles all email, mail and phone general inquiries and requests for information and materials.
  • Collects departmental logistical updates for monthly organization report.
  • Assists with ordering supplies and inventory, as needed.
  • Assists with trip expense reports, photocopying, ordering books and materials as needed.
  • Assists staff with mailing projects and provides support assistance.
  • Other tasks as assigned.

Primary IT Responsibilities: 

  • Implements and documents network operations, processes, and procedures.
  • Deploys and implements office network according to HQ specifications.
  • Serves as the office Network Administrator.
  • Identifies and solves possible problems in the network.
  • Supervises installations performed by third parties such as cabling, Internet connection, etc.
  • Supervises and follows-up on equipment maintenance performed by other contractors.
  • Supports and troubleshoots users in the office on their daily work.
  • Implements and enforces security on the network and prevent misuse of the IT resources.
  • Participates in writing IT office policy.
  • Responsible for IT inventory; work closely with the IT Coordinator and procurement team in Addis Ababa to monitor distribution and location of IT equipment by performing a yearly inventory check-up.
  • Sets up, implements, and maintains hardware firewall.
  • Keeps the network healthy by applying all required security patches and monitoring the correct delivery of all antivirus updates.
  • Implements and documents a disaster recovery plan and offsite storage of backed up data.
  • Other tasks as assigned.

 

Qualifications

  •  Bachelor’s degree is required;
  • Must have at least five years of general work experience;
  • Must have at least three years of specific experience in desktop support, ICT, Information Systems, or a related field;
  • Knowledge of USAID Rules and Regulations, previous experience working on USAID-funded projects preferred;
  •  Fluency in English is required.
