In this role, you'll help support operations by managing client authorizations, maintaining accurate information across internal systems and external portals, and coordinating with service coordinators and internal departments to ensure authorization updates are processed promptly and services remain uninterrupted.

Job Description
As an Authorization Coordinator, you will support the management of client authorizations, ensuring authorization information is accurately maintained across internal systems and external portals. You'll work closely with service coordinators, clients, families, and internal departments to follow up on outstanding authorizations, communicate changes, and help ensure services are coordinated appropriately.
This is a detail-oriented, fast-paced role requiring strong organizational skills, accurate data entry, proactive follow-through, and the ability to manage competing priorities while maintaining clear communication and ensuring authorization information is up to date.
WHAT YOU WILL DO:
- Authorization Entry & System Updates: Enter new client profiles, authorizations, and authorization changes into the company's internal system accurately and promptly. Ensure information is complete and aligned with payer requirements and established procedures.
- Authorization Portal Management: Manage external authorization portals, review authorization information, submit required updates, and ensure information is accurately reflected across internal and external systems.
- Authorization Follow-Up & Discrepancy Resolution: Monitor outstanding authorizations, follow up with service coordinators, identify discrepancies between external portals and internal records, and work to resolve issues in a timely manner.
- Internal Communication & Coordination: Communicate authorization updates to internal departments, including Staffing and Intake, to ensure changes are shared promptly and services can be coordinated appropriately.
- Client & Stakeholder Communication: Respond to inquiries from service coordinators, clients, and families regarding authorization status, changes, and service-related concerns while maintaining professionalism and providing timely updates.
- Documentation & Reporting: Maintain accurate authorization records, document communication and follow-up activities, complete authorization reports, and use Excel and other systems to review and compare authorization information.
Qualifications
MUST HAVE:
- Education: High school diploma or equivalent.
- Language Skills: Bilingual in English and Spanish.
- Microsoft 365 Proficiency: Proficiency in Microsoft Office applications, including Excel, Word, and Outlook, with the ability to review information, manage communications, and maintain accurate records.
- Data Entry & Accuracy: Strong keyboarding and data entry skills with the ability to enter, update, and maintain detailed information accurately and efficiently.
- Communication & Customer Service: Strong verbal and written communication skills with the ability to respond professionally to inquiries, follow up on outstanding issues, and communicate updates clearly.
- Organizational Skills: Strong attention to detail and time management skills, with the ability to manage multiple tasks, track outstanding issues, and meet deadlines.
NICE TO HAVE:
- Healthcare & Home Care Experience: Previous experience working in healthcare, home care, or a related service-oriented environment.
- Authorization & Eligibility Experience: Experience with medical billing, insurance verification, prior authorizations, authorization requests, or eligibility management.
- Healthcare Systems & Portals: Experience using electronic health records (EHRs), authorization management systems, or external payer portals. Familiarity with MatrixCare is a plus.
- Reporting & Data Management: Experience reviewing reports, exporting data, comparing records across systems, and identifying discrepancies using Excel or similar tools.
