Job Description

The Real Estate Leasing Coordinator is responsible for managing the leases and landlord relationships and addressing maintenance and facility issues for approximately 200 corporately-owned stores across various geographic markets and the supply chain center leases across the US and Canada. The coordinator is responsible for working directly with the attorneys in the Legal Department negotiating corporate lease renewals, the Corporate Store Development team responsible for real estate and construction of Team USA stores, cross-collaboration with members of the Accounting and Finance Teams to ensure proper rent and other payments are made to landlords and utility/service providers, and with store operations personnel (DCOs/MCOs) to address facility and maintenance issues at the store level. A successful coordinator will possess strong written and verbal skills, work well in a team environment, be well-organized and able to handle a variety of tasks in a timely manner.

Responsibilities

Leasing –Lease Renewals, Lease Management and Special Projects

  • Negotiate 40-50 lease renewals annually.
  • Generate real estate documents including, but not limited to: LOI’s, draft and final Leases, Lease Extensions and Amendments, Release Agreements, Legal Notices, and Termination Letters.
  • Review documents provided by landlords including SNDAs and estoppel certificates before providing them to Domino’s corporate attorneys for review from a legal perspective.
  • Appropriate follow-up regarding same (copying, mailing, filing, etc.).
  • Serve as the primary point of contact with landlords regarding real estate documents.
  • Communicate and share Rent Stop notices with the Accounting department when stores are closed due to relocation, sale or corporate operation decisions.
  • Lead rent-reduction initiatives and assist with large-scale Legal projects, including store or market sales and purchases.
  • Identify high rent and NNN lease agreements for deep dive evaluation.
  • Prepare lease abstracts and lease liability reports as needed.
  • Consult with local real estate brokers to assist with property and lease valuations.

Asset Management – Maintenance and Repair

  • Communicate store asset problems with landlords, including, but not limited to, water leaks, pest control, structural, roof issues and trash problems.
  • Track and follow through with municipal violations and citations.  Communicate with Accounting to ensure proper payment and with Operations and Construction Manager to track the resolution steps and timing.  Track all court dates and communicate the same with Operations and Construction Manager.
  • Send out official notices to landlords as needed to ensure timely resolutions.
  • Start/stop utilities service.
  • Manage relationship with waste vendor.
  • Update Corporate Operations leadership (DCOs/MCOs) on all outstanding issues and resolution progress.

Administrative Support, Database Management and Reporting

  • Keep electronic and physical filing up to date and compliant to the company records retention policy.
  • Input lease terms into the lease management software platform “AMT” and regularly update with proper rent, tax and insurance amounts, and CAM adjustments.
  • Track all lease renewals and negotiated rent savings.
  • Manage  the Corporate Real Estate Report each fiscal period, which includes lease dates, renewal status, and other pertinent lease terms.
  • Assist with the creation of Leasing Committee meeting presentations to seek executive approval of critical leasing decisions.
  • Provide periodic updates to team members and stakeholders in leadership regarding status of overall real estate portfolio  
  • Work with the Finance team to validate annual reconciliations provided by landlords for locations with NNN.

Qualifications

  • 3-5 years Real Estate Leasing experience.
  • General office skills necessary.
  • Proficiency in MS Word and Excel.
  • Excellent organization skills.
  • Ability to work under pressure and with deadlines.
  • Ability to prioritize multiple projects and take direction from several individuals.
  • Strong interpersonal communication skills, both written and oral.
  • Adept at reading and interpreting legal documents.
  • Possess strong attention to detail and problem-solving skills.
