Job Description
The GBS Project Manager is responsible for coordinating and driving the day‑to‑day execution of initiatives that support the establishment and ongoing development of the Global Business Services (GBS) organization. Reporting to and operating under the direction of the Vice President of GBS, this role brings structure, pace, and accountability to complex, cross‑functional workstreams.
This role ensures that project activities remain on schedule, aligned to key milestones, and within approved budgets, while providing leadership with clear, timely visibility into progress, risks, and issues. The GBS Project Manager serves as a central point of coordination across Finance, HR, IT, Procurement, Operations, and external partners to support a successful GBS stand‑up and transformation.
RESPONSIBILITIES
GBS Establishment Support
- Support the setup and implementation of GBS initiatives under the direction of the VP of GBS.
- Translate high‑level GBS objectives and roadmaps into detailed project plans, tasks, and timelines.
- Coordinate activities across multiple functional workstreams and external partners.
- Identify, manage, and communicate dependencies across initiatives to avoid delays and rework.
Project Planning & Timing Management
- Develop and maintain integrated project timing plans, including milestones, dependencies, and deliverables.
- Keep project plans current and reflective of changes in scope, priorities, or sequencing.
- Monitor progress against plans to ensure milestones are achieved as intended.
- Proactively flag schedule risks and work with owners to drive corrective actions.
Milestone Tracking & Execution
- Track progress against defined milestones, deliverables, and commitments.
- Follow up regularly with task and workstream owners to confirm status and completion.
- Identify slippage, gaps, or execution risks and raise concerns promptly.
- Maintain clear visibility into what is on track, at risk, or behind.
Issue, Risk & Escalation Management
- Identify, document, and manage project risks, issues, and blockers.
- Partner with team members to resolve issues at the working level when possible.
- Escalate issues appropriately when leadership decisions, resources, or prioritization are needed.
- Ensure escalations are timely, clear, and supported by facts and options.
Project Governance & Cadence
- Plan and facilitate recurring project governance and status meetings.
- Prepare agendas, materials, and pre‑reads to ensure productive discussions.
- Capture decisions, actions, and follow‑ups, and ensure accountability for commitments.
- Reinforce project discipline, focus, and momentum across all workstreams.
Status Reporting & Communication
- Prepare regular project status reports for GBS leadership and executive audiences.
- Report on schedule, milestone progress, risks, issues, budget status, and key decisions needed.
- Ensure communication is accurate, concise, and easy to understand.
- Serve as a central coordination point for GBS project communications.
Financial Tracking & Budget Reporting
- Track project spend against approved budgets.
- Maintain visibility into actuals vs. budget and forecasted future spend.
- Identify potential variances or overruns and flag them early.
- Partner with Finance and workstream leads to support budget discipline.
Stakeholder & Vendor Coordination
- Coordinate with internal teams and external vendors to track deliverables and timelines.
- Support vendor status tracking and management of interdependencies.
- Build strong working relationships that promote collaboration and execution.
Documentation & Project Discipline
- Maintain project documentation, including plans, timelines, risks, issues, decisions, and status reports.
- Ensure documentation is current and readily available for leadership review.
- Apply consistent, practical project management practices across all GBS workstreams.
Qualifications
Required Qualifications
- Bachelor’s degree in Business, Finance, Operations, Information Systems, or a related field.
- 5+ years of project management experience supporting complex, cross‑functional initiatives.
- Demonstrated ability to manage multiple workstreams, dependencies, and stakeholders simultaneously.
- Strong organizational, planning, and execution skills with high attention to detail.
- Proven experience preparing executive‑level status reporting and facilitating project governance.
- Strong communication skills with the ability to influence without direct authority.
- Proficiency with project management tools (e.g., MS Project, Smartsheet, Jira, Monday, or similar).
- Ability and willingness to travel internationally up to 25% as business needs require.
Preferred / Highly Desired Experience
- Prior experience supporting the stand‑up or transformation of a Global Business Services (GBS), Shared Services, or Center of Excellence model.
- Experience working through large‑scale transformation initiatives, including operating model changes, process standardization, or functional consolidation.
- Exposure to Finance, HR, IT, Procurement, or Operations transformation efforts.
- Experience coordinating across global, multi‑geography teams and vendors.
- Project management certification (PMP, PRINCE2, or equivalent) preferred.
