Job Description

We are looking for a proactive and motivated Events and Merchandise Coordinator in our Budapest office, working closely with our Luxembourg-based PR and Marketing Department.

  • Travel, schedule and organize international and external events in Luxembourg and abroad for all Byborg Entities 
  • Oversee the entire event process through pre-event planning, load-in, show, load-out, and post-event related tasks
  • Review contracts, organise events-related documentation and create a clear and transparent project plan (by using Microsoft Project, Teams, Excel, Jira, Confluence)
  • Take part in employer branding initiatives, coordinate logistics and selection of suppliers
  • Manage all branded items and related processes in cooperation with the responsible team members
  • Create promotional and collateral materials with the help of designers, copywriters, video editors and photographers
  • Coordinate promotion and communication of events, act as point of contact internally and for suppliers as well
  • Maintain budgets, oversee the venue research and suppliers’ booking
  • Liaise with partners, speakers, attendees in preparation of events
  • Take part in ad-hoc projects

Qualifications

  • Bachelor’s degree
  • At least 5 years of previous relevant work experience
  • Event planning / coordination skills
  • Excellent written and oral communication skills
  • Good interpersonal skills and organizational ability
  • Effective time and workflow management skills
  • Ability to multi-task and prioritize
  • High level of attention to details
  • Ability to work under pressure and meet tight deadlines
  • Good negotiation, sales and general marketing skills
  • Well-organized personality, with good administration and IT skills
  • Creative thinking
  • Strong level of English, knowledge of any other language is considered as a plus
