Job Description
Administrative Duties
- Assist the General Manager in organizing appointments and carrying out clerical, technical, administrative and general office duties in line with established resort standards and procedures.
- Responsible for Sales and Public Relations administration.
- Arrange meetings with Heads of Departments, suppliers and other stakeholders, manage the General Manager’s diary and coordinate travel arrangements.
- Prepare files for appointments and assemble relevant background information as required.
- Attend meetings to record official actions and significant discussions, and prepare draft minutes for review by the General Manager prior to distribution.
- Prepare, type, edit, format and proofread letters, memorandums, confidential reports, presentations, agendas and management correspondence, ensuring accuracy and professional presentation at all times.
- Operate computer systems for the preparation and maintenance of documents, correspondence, reports and related materials, utilizing appropriate word processing, spreadsheet, database and other software as required by the position.
- Initiate and maintain an established filing system, ensuring proper record keeping and confidentiality of documents.
- Greet and screen visitors, manage incoming and outgoing telephone calls, and act as the first point of contact on behalf of the General Manager.
- Liaise at all levels within the company and facilitate effective communication between the General Manager, team members, corporate offices, suppliers and external stakeholders.
- Update Corporate information and coordinate with Corporate Offices whenever required.
- Carry out research assignments and prepare specialist documents, reports and statistics as requested.
- Coordinate stock control for departure gifts and support site inspections when required.
- Lead the Easter and Christmas Festive Kids Programme by designing the programme, procuring required gifts and materials, coordinating logistics and acting as the main point of contact. Take full ownership of both programmes.
- Provide proactive and creative support when attending to VIPs, guests or visitors’ queries and dissatisfaction under the guidance of the General Manager.
- Assist the Front Office and Guest Relations teams whenever necessary to support operational efficiency and guest satisfaction.
- Be fully aware of promotions, special events and packages organized by the resort as per Daily Event Sheets and weekly highlights.
- Order office stationery, maintain inventory of office supplies and ensure proper storage of all equipment and stationeries within the Secretary Office.
- Ensure office equipment is operated properly, maintained regularly and recommend any required maintenance to the General Manager.
- Ensure operating costs are controlled and kept to a minimum in line with resort objectives.
- Recommend improvements to office procedures where appropriate and maintain a clean, organized and efficient working environment.
- Be familiar with the hotel’s emergency plans, including fire, tsunami and bomb threat procedures, as well as Lost and Found policies.
- Work collaboratively as part of a team, maintain a two way communication network with peers and provide active support to other departments as requested by the General Manager.
- Demonstrate attention to detail, creativity and initiative in order to continuously improve the quality of service.
- Perform any other related duties and responsibilities as assigned by the General Manager to facilitate the smooth running of the resort.
Sales & PR Duties
- Actively promote and sell the resort and its products through strong knowledge of major partners and top players.
- Assist in the Sales and Reservation process of the resort when required and support revenue optimization initiatives.
- Upsell wherever possible to ensure maximum room rate achievement, including direct in-house guests, pre-arrival communication and agency promotion.
- Work closely with the Central Reservation Office and Front Office to obtain detailed information on the profiles of groups, VIPs, commercially important customers and resort guests.
- Ensure all CHR&G Sales Offices are regularly updated on any resort changes, including menus, offerings and key developments.
- Ensure that the resort is effectively represented through appropriate advertising material such as brochures, flyers and website content, and through suitable communication media in Maldives.
- Build strong relationships with DMCs through visits and regular interactions via direct meetings, email and phone. Take ownership of DMC requests and provide assistance whenever possible.
- Coordinate with the Central Reservation Office, follow up on visits and educational tours, and participate in educational tour functions when required.
- Handle FAM trips, press trips and influencer visits to Constance Moofushi, including hosting when required.
- Update and create Press Kits and Fact Sheets for inspection visits and promotional activities.
- Conduct site inspections for external visitors and sister property representatives when required.
- Act as the main contact point for Constance Moofushi for Head Office Marketing, PR, Communication Teams and Group Sales Team.
- Support and safeguard the Social Media image of Constance Moofushi in line with Head Office guidelines, including coordination of pictures, videos and follow up on influencer collaborations.
- Research new market opportunities, map out potential customers and competitors, and stay updated on the local Maldivian competition.
- Maximize sales through analysis of our offering compared to competitors, including added value, environment and social media positioning, while tracking feedback collected during the stay and upon departure through reviews.
- Gather and analyze information and statistics related to Maldives market activities and revert findings to Management.
- Prepare and share monthly, quarterly and yearly reports in a timely manner, including market data, trends, feedback and performance analysis.
- Perform any other related duties as may be assigned by Management.
Qualifications
Diploma or bachelor’s degree in one of the following fields:
- Hospitality Management
- Business Administration
- Tourism Management
- Marketing / Public Relations
- Office Administration or Secretarial Studies
2–5 years of experience in:
- Executive Secretary / Personal Assistant role
- Hotel or resort administration
- Sales & marketing coordination in hospitality
Experience working directly with senior management or a General Manager is highly preferred.
Previous experience in luxury resorts or international hotel brands is an advantage.
