Job Description

The Role

 

Clifford Chance US LLP is seeking a full time Legal Secretary to help provide high-level administrative support to our attorneys in our Litigation & Dispute Resolution practice area. This role requires strong attention to detail, great organizational and analytical skills, and a strong client service attitude. Successful candidates will be personable, responsive, and proactive. This position will be located in our New York office and report to the Manager of Secretarial Services.

 

KEY RESPONSIBILITIES:

  • Provide day to day administrative support to our attorneys;
  • Type, edit, proofread and finalize documents;
  • Work closely with the Business Development ("BD") to understand the practice group's offerings, clients, and markets. Provide administrative support to the BD function of the practice group, as needed;
  • Coordinate new matter openings and obtain conflict waivers;
  • Coordinate meetings, assist in organizing client events/seminars, travel arrangements, appointments, and conferences;
  • Create, maintain, and manage files;
  • Prepare expense reports;
  • Coordinate with the Billing team on billing matters;
  • Enter attorney time into the Firm's billing system (InTapp Time);
  • Maintain attorney contacts in the Firm's Client Relationship Management Software (InterAction);
  • Maintain attorney biographies as needed;
  • Collaborate with resources inside and outside the Firm as appropriate to complete projects or tasks;
  • Provide back-up coverage for other secretaries as needed;
  • Perform other administrative functions and duties as assigned; and
  • Assist in fostering an environment of superior client service, collaboration, and teamwork.

Qualifications

Your experience 

 

  • 3-5 years of related legal or executive secretarial experience in a law firm or professional services firm.
  • High School Diploma or GED required. Associate's degree or equivalent training preferred.
  • Must have a high level of typing accuracy at a minimum of 60 wpm. 
  • Strong proficiency in Microsoft Office.
  • Must possess excellent organizational and client service skills.
  • Must have a proactive and positive approach.
  • Must be comfortable working in a fast-paced and growing environment.
  • Must be able to work independently or as part of a team.
  • Ability to work under pressure and prioritize competing demands to meet deadlines.
  • Must be able to adhere and comply with the Firm's Agile Working Policy which requires employees to work from the office at least three days each calendar week.
  • Ability to work overtime as assigned including working outside the core business hours as needed.
  • Must be independently legally authorized to work in the United States.

 

Clifford Chance US LLP offers a comprehensive benefits and compensation package. The salary range for this role is $70,000 - $95,000. Actual salary will be commensurate with the candidate's qualifications and relevant experience.
