Job Description
*This vacancy is only open to 1) current permanent Parks employees serving in the Principal Administrative Associate civil service title or 2) on leave from the title.
*ONLY OPEN TO CURRENT FULL-TIME ANNUALLY PAID PARKS EMPLOYEES*
Major Responsibilities
- Under supervision, with some latitude for independent initiative and judgment, assist the Director of Buildings Construction Unit (BCU) with the management of Capital Division design and construction projects.
- Track project schedules from funding inception through design, procurement, construction and close-out. Advise the director of missed milestones for action.
- Diligently monitor Unifier (the division’s project management software) for missed tasks and incomplete information. Promptly notify managers of deficiencies. Prepare Unifier reports as necessary for team, chiefs and borough review.
- Serve as liaison to other internal units including Architecture/Engineering.
- Monitor project funding during all phases. Ensure required action is taken if funding shortfalls are identified.
- Leverage problem solving skills to identify key issues/questions at the beginning of a project.
- Work closely with high-level staff to develop, manage and evaluate high-priority initiatives.
- Initiate and coordinate meetings and conference calls. Prepare necessary meeting materials.
- Collate information into cohesive reports/documents on a regular basis for review and use by Deputy Commissioners and Chiefs.
- Provide general office support including but not limited to scanning, copying, answering phones and other duties.
- Utilize data provided by supervisors and project managers to create and maintain spreadsheets and charts.
- Assist the Chief of Construction and the Director of BCU with other tasks and projects as requested.

Qualifications
1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
