Job Description
Supervise E.C.S Unit as follows:
1. Oversee daily work flow, and productivity of the unit.
2. Notify and train staff on any new applications or changes implemented in the unit.
3. Oversee the monthly download to Law Manager,
4. Monitor the weekly E-FORMS reports received from the IT Division.
5. Address all work related issues/concerns with staff.
6. Interview all candidates for vacant positions in E.C.S
7. Train new staff in all areas of the Encumbrance Control System.
8. Provide staff with assistance when necessary to prevent backlog.
9. Run Quality Control Reports to ensure accuracy of data in the system.
10. Oversee the weekly EBT upload received from IT.
- Provide case related expense data with adjustments to vendor totals using contract & purchase order report (AGOENC-001) extracted using FMS3 to be used for the monthly OTPS Variance Report.
- Provide reports using various points of reference designed to meet the needs of Attorneys, Fiscal Unit and other Divisions or agencies who request case related expense information.
- Provide the Budget Chief and Director of Finance with all relevant case expense information to be used for the budget Supplemental / City Counsel request.
- Provide expenditure reports for specific services and vendor to be used for contract allocation purposes.
RESEARCH ASSISTANT - 60910
Qualifications
1. A baccalaureate degree from an accredited college and six months of satisfactory full-time experience in research which involves gathering, organizing and analyzing data, and report writing; or
2. An associate degree from an accredited college, or completion of 60 semester credits at an accredited college, and two years and six months of satisfactory full-time experience in research which involves gathering, organizing and analyzing data, and report writing; or
3. A four-year high school diploma or its educational equivalent and four years and six months of satisfactory full-time experience in research which involves gathering, organizing and analyzing data, and report writing; or
4. Education and experience equivalent to "1", "2", or "3" above. Undergraduate college credit can be substituted for experience on the basis of 30 semester credits from an accredited college for one year of full-time experience. Completion of nine credits, at the college or graduate school level, in statistics, quantitative methods, mathematics, or research can be substituted for six months of the required experience. However, all candidates must possess a four-year high school diploma or its educational equivalent and at least six months of required experience or the nine specialized credits.
