Job Description
Position Summary
Reporting to the Executive Director (ED), position is responsible for a variety of Rhythms Home Care managerial functions: administers the staffing and scheduling function; oversees service agreements, client billing, invoices; troubleshooting and resolving both client and team member issues and concerns. With oversight from the ED, coordinates accounting and payroll functions for Rhythms Home Care team members. Together with the DON, coordinates all client medical records, and records of services provided. As a member of the RHC management team, responds to emergencies through rotating on-call duties. Serves as personnel coordinator for the team, including, but not limited to candidate interview coordination, onboarding processes and documentation, and general tracking of mandatory trainings and certification requirements. Assists the both the ED and the Director of Nursing (DON) with a variety of projects.
- Develops, coordinates, and maintains both client and staff schedules to meet client needs of clients and maintain quality of care in a fiscally responsible manner. This includes day-to-day staffing and long-term planning.
- Maintain records to assist in matching each employee’s skills, certifications, experience and abilities with each client’s needs and reasonable requests.
- Serve as part of the job candidate interview team toward hiring and retaining team members at the correct staffing levels. In conjunction with Human Resources, coordinate new hire onboarding, documentation, training, and records retention.
- Ensure all nonmedical team members obtain and maintain proper training certifications to perform their work duties and provide safe, appropriate, quality care.
- Supervises the Intake and Staffing Coordinator and intake processes, ensuring all service agreements are complete and accurate, the billing setup and intake processes is correct, and clients are billed in a timely manner. Manages the day-to-day billing functions for Rhythms services.
- Regarding new clients, coordinates closely with the RHC Marketing and Business Development Manager.
- Assist the ED and DON with continuing support, development, and tracking of performance management to ensure position functions are carried out per set expectations and team members grow in knowledge and understanding of senior living best practices.
- Responsible for the delegation of tasks to the Intake and Staffing Coordinator.
- Troubleshoot and resolve issues, concerns, and complaints from both clients and team members. When needed, escalate issues to the ED and DON.
- Performs necessary accounting functions to include processing client bills, telephony monitoring and payroll coordination for all Rhythms employees. Biweekly, ensure that Payroll is accurate and correct for submission
- Provides all monthly reports related to admissions, discharges, billable hours, accounts receivable, invoicing and RN, LPN, CNA and PCA billing monthly.
- Collaborates with Accounts Receivable to ensure receipt of payment for services rendered.
- Provides community billing information as requested for reporting, and triages all billing issues.
- Reviews and expedites the collection of delinquent accounts per our established collections policy.
- Codes all employee hours worked daily depending upon location of assignment within organization.
- Conducts Client Chart Audits and assists with In-Home Associate Supervisions every 90 days or as required.
- In the absence of the ED or DON, steps in with certain delegated tasks to ensure the smooth functioning of the team and continuity of care for clients .
- Participates in the Rhythms Home Care Continuous Quality Improvement (CQI) and Quality Management Program.
- As scheduled, assumes rotating on-call responsibilities to assure a timely response to urgent and emergency situations.
- Responsible for encouraging, participating, and integrating Masterpiece Living and Eden Alternative initiatives by supporting successful aging and person-centered programs and culture.
- Other duties as assigned.
Qualifications
Basic Qualifications & Experience
- Bachelor’s degree preferred, or a combination of some college/post-high school level of education/degree/certification and equivalent work experience.
- Min. 2 years verifiable experience in staffing and scheduling, preferably in the senior living, long term care or home care field.
- Min. 2 years in some basic accounting function – payroll, billing, client accounts, tracking transactions, etc.
- Ability to problem-solve, deal effectively in challenging situations, work independently, multi-task (prioritization skills) and be self- directed
- Excellent computer skills, including knowledge and experience in Microsoft Office (Word, Excel, and Outlook).
- Must be able to read, write and speak the English language.
- Must possess excellent customer service, interpersonal, written, and verbal communication skills.
- Must have a desire to work in senior living and strong customer services skills to serve both external and internal customers.
Working Conditions / Physical Requirements
- Light physical effort required by handling objects up to 20 pounds occasionally and/or up to 10 pounds frequently.
- Sits, stands, bends, and moves intermittently during working hours.
- Is subject to frequent interruptions.
- Interacts with clients, team members, families, volunteers, community residents, and applicants.
