Job Description
Reporting and providing insights:
- Collect and give regular updates on all work and immigration standards from the government offices to keep the Operations Department well informed of any changes in procedures and rules.
- Collect information and provide regular updates regarding standard operating procedures, rules and regulations and any other latest information that can impact company operations.
Administrative missions:
- Submit and gather all new work and business visas to guarantee that the visas are handled and processed on time.
- Make sure all businesses and trade Licenses are updated, follow-up official approvals and permits, to prevent unnecessary violations.
- Accurately prepare and process required legal documents like rent contract attestation in government agencies.
- When the need arises, represent the company at different offices like Airport, Embassies, Police Station, Ministries/Municipalities, and other government Departments.
- Diligently verify, gather, and research relevant information and procedures related to business activities that the clients wish to undertake under their trade licenses.
- Managing travel and accommodation for our employees and visitors: booking required Hotel, flights and visas.
- Manage Staff Accommodation from rent Payment, Renewal, Termination process, preparation of letter to landlords and coordinate for the maintenance and moving.
Accounting:
- Update accounts receivable, document financial transactions and issue invoices if needed.
- Complies with state, and local financial legal requirements.
- Handle petty cash and prepare expense closing before end of each month.
- Maintains customer confidence and protects operations by keeping financial information confidential.
- Enters customer payments, local payments and adjustment payments, and carries out various adjustment transactions.
- Perform other responsibilities and tasks as directed by the manager in order to meet department/ division objectives
Qualifications
- Must hold a degree in a business-related subject
- Must be a Saudi National
- Mandatory: At least 2-3 years’ experience in a similar role required (Administration or HR)
- Well acquainted with all the government entities (Muda, Muqeem, Quwa ...), labour law, ministries, etc.
- Computer literate with knowledge of working with MS Pack Office (Excel, PowerPoint, Word)
- Strong communication skills in Arabic and English
- Strong organisation and reporting skills, ability to work in a fast-paced environment, problem-solving, confidentiality, basics in accounting, proactivity and autonomy are mandatory skills for that position
