Job Description

The Executive Admin Assistant will provide high-level administrative support to the executive team, ensuring efficient operation and effective time management. In addition to traditional executive assistant duties, this role will have added responsibilities for pricing administration and distribution scorecard management. The ideal candidate will be adept at multitasking, possess excellent communication skills, and have a strong analytical mindset.

Executive Support:

  • Provide comprehensive administrative support to the executive team, including calendar management, meeting coordination, travel arrangements, and expense reporting.

Communication Management:

  • Handle incoming and outgoing communications on behalf of executives, including emails, phone calls, and correspondence.
  • Prepare and edit documents, presentations, and reports.

Meeting Coordination:

  • Organize and coordinate executive meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items.

Distribution Scorecard Management:

  • Develop, maintain, and manage distribution scorecards to track performance metrics and key performance indicators (KPIs).
  • Analyze data and prepare reports to provide actionable insights to the executive team.

Project Management:

  • Assist in the planning and execution of special projects and initiatives as directed by the executive team. Ensure projects are completed on time and within scope.

Document Management:

  • Maintain and organize executive files, documents, and records, ensuring confidentiality and accessibility.

Event Planning:

  • Assist in the planning and execution of company events, meetings, and conferences, including logistical arrangements and coordination.

Office Coordination:

  • Oversee office operations, including supplies management, vendor relations, and office maintenance.

Qualifications

Education:

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.

Experience:

  • Minimum of 3-5 years of experience as an executive assistant or in a similar administrative role.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Strong analytical and problem-solving abilities.
  • Ability to handle confidential information with discretion.
  • Attention to detail and high level of accuracy.
  • Ability to work independently and as part of a team.
  • Project management experience is a plus.
  • Knowledge of assembly and linear technology product line(s): i.e. design, available variations, market, industry and customer base.
  • Strong customer orientation required to deliver a great Customer experience.
  • Must have proven track record of meeting or exceeding objectives.
  • Must be highly organized and able to handle numerous projects, initiatives and issues.

Preferred Qualifications:

  • 5+ years experience in sales / customer service / pricing
  • B2B experience in automation industry
  • Experience in pricing administration and/or distribution scorecard management is highly desirable.
