Job Description

We are looking for an experienced Senior Business Analyst to join our Transformation team at Penguin Random House UK on a 6-month fixed-term contract basis in London.

We are undertaking a company-wide File Management project to simplify how colleagues store, organise, find and share files and information. The project will support our move away from existing shared drives to Microsoft 365 and Box, whilst helping teams to establish clearer and more consistent ways of working.

As Senior Business Analyst, you’ll play a key role in understanding how files are currently managed across the organisation, identifying opportunities for improvement and helping teams to prepare for a successful migration.

The role

Working within Group Operations and alongside colleagues across Transformation, Strategic Projects and Technology, you’ll lead the business analysis activity supporting the discovery and implementation of the File Management project.

You’ll combine data analysis with engagement across the business to understand current file structures, processes and ways of working. From there, you’ll help teams identify what needs to change, define practical future ways of working and turn your findings into clear recommendations and migration plans.

You’ll work closely with our Project Manager, Continuous Improvement, Communications and Digital Training colleagues to support teams through discovery, decision-making, migration and adoption.

Key responsibilities:

  • Analysing file storage data to understand volumes, usage, age, duplication and other patterns, turning your findings into clear insights and recommendations.

  • Leading discovery with teams across the business through workshops and interviews to understand current file structures, ownership, processes and ways of working.

  • Identifying opportunities to simplify file management, reduce duplication and improve how information is organised, accessed and shared.

  • Investigating business processes, specialist file types, applications and other dependencies that may affect migration, working closely with Technology colleagues.

  • Helping teams define practical future ways of working, including file structures, permissions, ownership, naming conventions and sharing arrangements.

  • Translating discovery findings into clear recommendations for what should be retained, archived, deleted or migrated, and assessing the readiness and complexity of different business areas.

  • Producing evidence-based analysis to support prioritisation and phased rollout across the organisation.

  • Collaborating across Transformation, Strategic Projects and Technology to support implementation and help embed new ways of working.

What you’ll bring

Essential criteria:

  • Significant experience as a Business Analyst or in a comparable analytical or change role, including leading analysis on complex initiatives.

  • Strong data analysis and structured problem-solving skills, with the ability to work with large or complex datasets, identify patterns and turn findings into clear recommendations.

  • Experience with leading business process discovery and analysis across multiple teams or stakeholder groups.

  • Strong experience planning and facilitating workshops and stakeholder interviews, including bringing together different perspectives.

  • Experience of mapping and documenting current and future processes or ways of working.

  • The ability to combine quantitative data with qualitative insight to build an evidence-based understanding of business needs and opportunities.

  • Experience of working on technology-enabled change and collaborating effectively with Technology and delivery teams.

  • Confidence working with ambiguity, challenging existing practices constructively and helping stakeholders reach practical decisions.

  • Strong written and verbal communication skills, with the ability to make complex information clear to different audiences.

Desirable criteria:

  • Experience of file management, information management, data migration or similar transformation projects.

  • Familiarity with Microsoft 365, SharePoint, Teams, OneDrive or Box.

  • Knowledge of Continuous Improvement principles and techniques, such as Lean or Six Sigma.

  • Experience of working within publishing, media or another complex organisation.
