Job Description
Your Role
As a Management Assistant within the People Department, you support the Group Head of People and the various HR teams (Learning & Development, Recruitment, Reward, etc.) in their day-to-day operations and the execution of strategic initiatives. In this role, you ensure smooth alignment, coordination, and execution of activities across the different People disciplines and act as a trusted right hand to the Group Head of People, enabling the People Leadership and teams to maximize their impact on both the business and our employees.
With your organizational talent, discretion, and proactive mindset, you are a connecting link within the department. You actively contribute to People projects, process improvements, and digitalization initiatives, and help build a strong employee experience and a future-oriented People organization.
Your Responsibilities
- Coordinate calendars, meetings, workshops, and People events.
- Prepare and support presentations, reports, communications, and management documents.
- Monitor actions, priorities, deadlines, and deliverables.
- Prepare and coordinate People Leadership Team meetings, governance forums, and decision-making processes.
- Support People projects and strategic initiatives at Group level.
- Facilitate efficient collaboration between different HR disciplines and stakeholders.
- Actively contribute to the adoption of digital tools, automation, and AI solutions within People processes.
- Facilitate internal communications, newsletters, and People initiatives.
- Act as a central point of contact for internal and external stakeholders.
- Ensure the confidential and correct handling of sensitive People and personnel information.
- Coordinate and follow up on purchase orders, invoices, budgets, and suppliers within the People Department.
Qualifications
Your Profile
- Bachelor’s degree or equivalent through experience.
- At least 7 years of experience in management support, business support, project coordination, or a similar role.
- Experience within HR, People Operations, or an international organization is a strong asset.
- Excellent knowledge of Dutch, French, and English.
- Strong knowledge of Microsoft 365 and an affinity for digital tools.
- Strong organizational skills, with attention to quality, detail, and priorities.
- Proactive, service-oriented, and strong in stakeholder management.
- Discreet and professional in handling confidential information.
- Interest in process improvement, digitalization, and project-based work.
- Flexible, hands-on, and able to take ownership independently.
