Job Description
The Challenge of the Proposal Specialist in a few words
The Proposal Specialist is seen as the Project Manager of each proposal as it entails expertise in coordination, financial aspects and great organizational skills.
Your contribution in the role of Proposal Specialist:
- You manage multiple RFPs, RFIs, and RFQs simultaneously, setting clear priorities and ensuring all deadlines are met
- You collaborate closely with customers and cross-functional teams (Sales, Finance, Project Management, Engineering, Legal) to deliver proposals that align with client expectations and internal standards
- You prepare high-quality proposal documents and coordinate all inputs required to define accurate effort and cost estimates
- You review contractual and legal terms in close partnership with the Legal team
- You ensure compliance with regulations related to governmental customers (e.g. pricing regulations, public tendering, export control, classification, and security requirements)
- You work with Procurement to gather and validate material costs and lead times when needed
- You validate data accuracy and help shape pricing strategies with the Sales Manager, as well as cost structures with Finance
- You proactively communicate with internal stakeholders (including Sales Managers and Executives) when contractual deviations or requirement gaps arise
- You review and accept purchase orders, validating commercial and key legal conditions, and liaise with customers when adjustments are required
- You organize and lead key meetings, including commercial business reviews, to secure executive alignment and approval
- You act as a key link between proposal activities, project launch teams, and billing processes
- You ensure all activities and approvals are accurately tracked in Salesforce (CRM system)
- You review and approve proposals prepared by colleagues, ensuring consistency and quality
- You support Sales Managers with administrative and logistical tasks required to secure contracts (e.g. vendor forms, certificates), for both private and public sector clients
Qualifications
The ideal candidate in a few words
- You hold a Bachelor’s degree in Business Administration or a related field
- You have experience in proposal development and cost analysis; experience with governmental customers is a plus
- You are proficient in Microsoft Office (Word, Excel, PowerPoint); knowledge of Salesforce, public pricing regulations, and governmental procurement processes is an asset
- You have affinity with industries such as electronics, telecommunications, aerospace, or automotive
- You are results-driven, with strong communication and relationship-building skills, and able to multitask and set priorities effectively
- You possess strong analytical skills and a high level of attention to detail
- Multilingual: Fluent in English and Spanish both written and spoken.
