Job Description

Purpose

Execute the daily voyage post fixture activities of the Shipping Division, drive value in maximizing cash position for the Shipping Team and ensure proper control procedures are in place.

The purpose of the role is to provide the connection/link between Chartering and Operations in the Bulk sector of the portfolio.  This role will administer the vessel and cargo nominations between the port, Cargo Owner, Shipping and the Owner/Operator for the Iron Ore trades from Saldanha Bay and Port Acu. 

Administer deal validation and contract documentation for all ocean freight transactions within Shipping.  Providing the valuable governance link prior to a transaction being approved within Veslink.

Manage the contract administration process in the Shipping System.

Key responsibilities include

Performance & Delivery  

Postfixture

  • Manage laytime calculation with both internal CMTs and 3rd party customers for all TC fleet and Voyage Relet voyages
  • Negotiate the laytime settlement basis Charter Party contracts including construction and articulation of convincing arguments during the negotiation.
  • Escalate disputes to Operations management and closely liaise with legal team for clarification and advice.
  • Coordinate with both internal and external stakeholders, ensuring smooth voyage closure with minimal risk.
  • Monitor, follow-up and execute operational procedures across Shipping portfolio.

- Deal Validation:

  • Validation of transactions concluded by Chartering are 100% aligned with the Deal checklist and Shipping SOP, including:
    • Vessel vetting
    • Loadport and discharge port approval
    • External deal confirmation matches the system entry
    • Credit approval
    • CMT approval
  • Conducts the independent sanction review of all vessels nominated into Anglo American Shipping
  • Maintain valid documentation as required and ensure all system data is accurate for vessels and contractual information. 
  • Validate bunker transactions against external deal confirmation for Head of Shipping approval.
  • Gatekeeper for compliance to ensure all internal and external approvals (Legal, Tax, DAF, Joint Ventures, Shipping) are obtained within the required timeframes before transactions are finalised and executed. 

Marine Accounting

  • Check and negotiate freight differential for shipments both equity cargo and 3rd party trading cargo.
  • Manage and advise the freight differential guidance to internal CMTs.
  • Check and ensure correct final freight rate is updated in Veslink.
  • Ensure final freight invoices are issued after both laytime and freight differential concluded.
  • Monitor and track voyage closure status and ensure voyages are closed within KPI.         

Contract and Professional Advice

  • Maintain a daily log of all outstanding contract documentation and work with Chartering to ensure these contracts are completed and finalised in a timely manner.
  • Obtain a weekly listing of active charters in Veson and check against Contract Management Tool.
  • Provide regular and ad hoc reporting in relation to contract status, customer performance status, service delivery and issues associated with contract administration and preparation.
  • Manage and provide guidance to internal CMTs in terms of shipping related clauses for their sales contract.
  • Provide operational and professional advices to CMTs, especially for new trades or customers.
  • Offer shipping expertise and help commodity team to resolve issues with end customers.

Reporting

  • Monitor and track the performance of laytime settlement for internal equity cargo.
  • Monitor and track the Voyage Closure status cross Shipping portfolio.
  • Track the freight invoices issuance and flag concerns if any.

Compliance

  • To comply with all Anglo Group, Anglo American Marketing and Anglo American Shipping procedures and process.
  • Ensure all Compliance trainings and programs are completed within deadline.

Group Governance and Risk Management

  • Ensure strict compliance with all governing flag states, class regulations, International Safety Management and International Ship and Port Security Regulation issues with the chartered and managed fleet.
  • Strictly follow Anglo Group’s governance, compliance guidelines and ensure the counterparties we deal with, are also aware of our Group policy and observe same to be followed.

Sustainability & Social

Support Marketing Sustainability and specifically Shipping Sustainability and ESG initiatives as required particularly where there is a need to integrate these with the Strategic plan.

Scheduling:

Handling the voyage charter vessel nomination between contract partners, the port and chartering – specifically at Port Acu and Saldanha Bay

  • Assist in the vessel vetting procedure complying with Shipping SOP and Anglo Vetting Policy.
  • Notifying external counterparties of vessel acceptance or if additional documentation is required.

Qualifications

Knowledge specific to the position:

  • Knowledge and experience with key Shipping terms and contracts clauses.
  • Dry Bulk Post Fixture experience
  • Legislation requirements (ISM, ISPS, IMO)
  • Good knowledge on major ports, local practices and requirements at our major trading routes.
  • Good understanding of policy and procedures – in relation to governance and controls around commercial approvals.
  • Contract administration.

Skills:

  • Sound commercial awareness
  • Self-motivated individual who can work with minimum supervision
  • Good oral and written communication skills
  • Ability to work in rapidly changing environment, and prioritise duties accordingly
  • Ability to be customer responsive, building and maintaining relationships with our key stakeholders
  • Veslink knowledge would be preferred
