The purpose of the Marketing BU is to sustainably maximise cash flows from the marketing of Anglo American products and services.

The Sales Operations team is responsible for delivering best-in-class service to customers in order to allow Marketing to capture best possible margins in the market. The team is fundamental in delivering the trading and sales operations ambitions across Marketing that requires manage trade-offs between different production, marketing systems and interfaces customers across various industries following different dynamics operating practices (multi-industry context).

Sales Operations team needs to scale and expand its services as required to support the development of new product and service offerings to the market. This role plays a key part in designing and continuously optimizing the platforms/systems within the commodity areas, considering that the business increases in complexity over time with the introduction of enhanced trading, sourcing and origination and financing activities.

Job Description

Responsible for delivering sales operations services for our equity products and complementary third-party product from sourcing and origination as well as trading activities within Marketing. This role plays a critical part in managing shipments related activities in line with contractual and commercial terms, while identifying value opportunities and serving as a key control point for risk mitigation across the entire supply chain. 

Key Tasks:

Safety, Health & Environment (required for all roles)

Contracts Administration

  • Provides input, with an emphasis on operational terms, payment terms and trade finance requirements, into the purchase and sales contracting processes.
  • Identify and evaluate potential operational issues prior execution that arise from the different contractual terms between purchase and sales contracts and propose resolutions to mitigate such operational risks.

Product Shipment and Logistics (Bulks / Non-Bulks)

  • Execute shipping plan according to vessel schedule availability, customers’ requirements, and expedition dates.
  • Provide close coordination between sales and operational logistics (within the producing country). (Monitoring authority)
  • Provide instructions to logistics service providers and suppliers to ensure timely delivery of products.
  • Manage the shipment including the vessel nomination, containers bookings, port declaration, laycan declaration, shipping instructions, insurance declaration, load port/ discharge port surveyor appointment and load port and discharge port operations management.
  • Arrange freight forwarders, shipping lines, warehousing operators and shipping team to book containers and vessel space as required according to contractual agreement.
  • Ensure shipment execution status and dates are updated timely and accurately in relevant systems and/or reports.
  • Review all quality certificates to ensure delivered commodity is within contractual tolerances.
  • Ensure all shipping documentation and invoices generated are in order as required, e.g. bill of lading and quality certifications.
  • Timely submission of shipping documents to banks/counterparties to facilitate prompt payment from customers
  • Collating shipping documentation and maintaining physical file
  • Manage assay exchange process and computation of final assay results
  • Process all laytime calculations and timely settlement of demurrage / despatch
  • Timely settlement of payment to freight forwarders, warehouses  ship owners, surveyors and laboratories

Finance / Treasury / Trade Finance / Credit Risk

  • Check and / or operate all Letters of Credit for integrity and workability against the shipment.
  • Obtain LC confirmation and discounting quotes from bank and support discounting process by submitting all related documentation to banks.
  • Liaisons with Finance on payment receipt and final invoices are booked on a timely basis (service authority to finance / monitoring authority).
  • Provides information to Finance to facilitate cash flow management and minimising working capital (service authority).
  • Monitor and manage counterparty’s credit positions and manage debtors, escalate unpaid invoices as required.

Customer Services

  • Manage internal and external stakeholders’ communications and deliver high service level in terms of supplier and customer relationships, logistics requirements, documentation requirements and ad hoc reasonable requirements.
  • Manage both supplier and customer operational logistics interactions and communications to optimise logistics results.
  • Facilitate and coordinate customers and supplier’s claims / queries to ensure speedy resolution.

Group Governance and Risk Management

  • Execute sales operations activities in alignment with Group Business Integrity and Governance policies.
  • Escalate and communicate any contract compliance discrepancies, logistics and other risk areas to the Team Lead or Manager Sales Operations.
  • Maintain accurate records within relevant systems.

Process and Systems Improvement, and Other Projects

  • Support continuous review to identify opportunities that will help maximise value and efficiencies.
  • Manage and working with stakeholders to deliver implementation and/or improvements of key optimization projects to maximize value for the Marketing BU.

Compliance (required for all roles)

  • Adherence to all Anglo American Group and Marketing policies and procedures, as well as observing proper standards of conduct relating to the role.
  • Comply with Anglo American Security and Operating Standards

Qualifications

What we’re looking for

  • Strong transactional and operational knowledge of international sales operations, including delivery terms and documentation requirements (e.g., Bills of Lading, Charter Party Bills of Lading, warehouse releases, warrants, and holding certificates).
  • Familiarity with port, warehousing, and shipping logistics operations (desirable).
  • Good understanding on Letter of Credit, UCP 600, ISBP and Incoterms 2020.
  • Excellent written and verbal communication skills.
  • Highly proactive with a disciplined and structured approach to work.
  • Strong ability to collaborate with multiple stakeholders from diverse backgrounds.
  • Self-motivated with the ability to work independently and take initiative.
  • Highly organized, with a strong orientation toward workflow coordination and process management.
  • Exceptional planning and organizational skills, with the ability to manage competing priorities effectively.
  • Strong numerical and analytical skills, with keen attention to detail.
  • Excellent problem-solving capabilities and a solution-oriented mindset.
  • Minimum 3 years of experience in international commodity operations or logistics.
  • Degree-qualified, preferably in Commercial, Engineering, or Business disciplines (desirable).
  • Experience in contract preparation and execution within a trading environment.
  • High level of commercial acumen, with strong numerical and analytical skills and attention to detail.
  • Proficient in Microsoft Excel and Word, with experience using ERP systems.
